Job Purpose
The Technical Records Assistant plays a crucial role in ensuring the accuracy and organization of airline records. This position involves meticulously sorting and scanning a high volume of records efficiently uploading them to the system and securely archiving all documents.
Key responsibilities
- Document Processing: Efficiently scan sort and digitally migrate aircraft technical records ensuring all project targets are met within designated timelines.
- Data Integrity: Guarantee the accuracy and integrity of scanned data by using appropriate scanning settings to achieve the highest quality resolution and correct page orientation.
- Customer Engagement: Act as an ambassador for flydocs addressing customer queries professionally and providing daily updates on scanning progress against targets.
- Quality Assurance: Ensure zero rework is needed by adhering to established scanning protocols and customer specifications.
- Scanner Management: Set and adjust scanner parameters for each project. Perform daily maintenance and routine cleaning of scanning equipment to uphold image quality.
- Archiving Preparation: Prepare and manage boxes for archiving in accordance with company procedures and requirements.
- Reporting: Contribute to reports that track project progress and outcomes providing insights and recommendations where applicable.
- Work Environment: Maintain outstanding visual management of the work area ensuring cleanliness and organization meet company housekeeping standards.
- Health & Safety: Ensure personal health and safety during the handling and transportation of boxes weighing 1520 pounds.
Requirements
Qualifications:
- High school diploma or equivalent; additional qualifications in information management or a related field are a plus.
- Experience in document scanning archiving or records management is preferred.
- Strong attention to detail and commitment to data accuracy.
- Excellent communication and interpersonal skills.
- Ability to manage multiple tasks and meet deadlines in a fastpaced environment.
- Proficient in using scanning equipment and basic office software.
Desired experience
Required:
- Minimum of a year s records management administration experience
- Proficient at Microsoft suite Excel and Word /Adobe Acrobat Professional software proficiency.
- Good verbal and written communication skills
- Ability to lift and move archive boxes with reasonable frequency.
Desirable:
- Experience within aviation industry
- Desired experience & knowledge of handling the aircraft maintenance documents/records.
- Added advantage of having experience in conversion of physical documents into digital records.
- Prefer to have knowledge of Scanning software s (Capture Perfect capture one pro etc.) to accomplish job duties.
- Added advantage of having experience in scanning record.
