We are currently seeking a Service Coordinator to join our team in Ghent Belgium with the flexibility of a hybrid work model (2 days in the office and 3 days remotely).

Job Overview:

As a Service Coordinator you will be the key link between our customers dealerships and internal service teams. Your primary responsibility will be to ensure that customer inquiries and service requests from German and Polishspeaking markets are managed promptly and professionally. You will play a crucial role in coordinating services and ensuring that every customer interaction reflects our dedication to excellence.

This is a hybrid position allowing you the flexibility of working 2 days in the office in Ghent and 3 days remotely. This balance supports a productive flexible worklife while maintaining essential inperson collaboration with the team.

Key Responsibilities:

  • Act as the primary point of contact for customers from German and Polishspeaking regions handling service inquiries requests and complaints with professionalism and efficiency.
  • Coordinate service appointments repairs and maintenance schedules between customers and dealerships.
  • Ensure timely communication between all parties including customers technical teams and service departments.
  • Manage the service workflow ensuring that all service requests are logged tracked and resolved efficiently.
  • Proactively follow up with customers to ensure satisfaction with services provided.
  • Resolve customer concerns by liaising with internal teams and escalating issues when necessary.
  • Provide regular updates to customers regarding the status of their service requests.
  • Maintain accurate records of customer interactions services performed and followup actions in our CRM system.
  • Contribute to improving our service processes by providing customer feedback and suggestions to internal teams.

Requirements:

  • Fluency in German and Polish is a must (both written and verbal).
  • Previous experience in customer service service coordination or a similar role is highly beneficial.
  • Strong communication and interpersonal skills with the ability to manage customer relationships and resolve issues effectively.
  • A background or passion for the automotive industry is a plus but not essential.
  • Ability to work in a fastpaced highpressure environment with a focus on problemsolving.
  • Proficiency in using CRM systems and basic software tools such as Microsoft Office (Word Excel Outlook).
  • A strong sense of responsibility attention to detail and the ability to manage multiple tasks simultaneously.
