Key Responsibilities:
Office Management:
- Organize office systems manage supplies and ensure proper functioning of office equipment.
- Oversee office supplies inventory and ensure timely delivery of necessary items.
Documentation and Record Keeping:
- Handle office correspondence (emails phone calls etc.) and maintain uptodate records.
- Assist with regulatory and compliance documentation.
Scheduling and Coordination:
- Coordinate meetings appointments and events for the industrial team.
- Prepare agendas take meeting minutes and distribute to relevant stakeholders.
- Organize travel arrangements including booking flights accommodations and transportation.
Communication and Support:
- Prepare format and distribute various documents such as reports presentations and memos.
- Maintain confidential and secure records.
- Ensure smooth communication across departments and stakeholders.
Legal and Compliance:
- Ensure compliance with Factory Act Labour Laws and other statutory requirements.
- File returns and manage compliance under various acts including the Minimum Wages Act Payment of Bonus Act Payment of Gratuity Act Labour Welfare Fund Act and Contract Labour (Regulation and Abolition) Act.
- Keep up to date with changes in labor laws and ensure timely filings and documentation.
Hotel and Vehicle Booking:
- Establish tieups with hotels and arrange guest bookings.
- Coordinate accommodations and transport for employees based on seniority and position.
Skills:
- Proficient in Microsoft Office Suite (Word Excel PowerPoint Outlook).
- Indepth knowledge of PF and ESIC rules and challan generation.
- Strong understanding of Factory Act Labour Laws and experience with filing returns under various statutory acts.
- Knowledge of Minimum Wages Act Payment of Bonus Act Payment of Gratuity Act Labour Welfare Fund Act and Contract Labour Act.
- Excellent organizational communication and timemanagement skills.
- Ability to handle confidential information with discretion.
- Attention to detail and strong problemsolving capabilities.
