The Admin Specialist is responsible for providing a variety of administrative support services to ensure smooth operations within the department. This role includes handling general administrative tasks managing online enrolments and overseeing the issuance of certificates. The ideal candidate will have strong attention to detail excellent organizational skills and the ability to work in a fastpaced environment.
Job Description
Administrative Support: Provide administrative support to the team by managing emails answering phone calls and scheduling appointments or meetings.
Document Management: Organize and maintain digital files and records ensuring they are easily accessible and properly stored in cloudbased systems
Report Preparation: Assist with generating reports tracking key performance indicators and preparing documentation as needed.
Manage Enrolment Process: Oversee the entire online enrolment process for courses or programs ensuring forms are completed accurately and submitted on time.
Support Enrollees: Assist students or clients through the online registration process answering questions related to course offerings prerequisites and payment details.
Data Entry & Record Management: Input and update enrolment information into the system ensuring data is accurate secure and compliant with privacy regulations.
Certificate Generation: Prepare verify and issue certificates for individuals who have successfully completed courses or programs ensuring all information is correct and up to date.
Requirements
Experience working in an Australian RTO (Registered Training Organisation):
- Previous experience in an administrative or support role within an Australian RTO is required. Familiarity with VET (Vocational Education and Training) processes compliance and standards is highly preferred.
Experience working with aXcelerate SMS:
- Strong handson experience with aXcelerate Student Management System (SMS) is essential. You should be comfortable using aXcelerate for tasks such as student enrollment data entry reporting and managing student records.
Strong Written and Verbal Communication Skills:
- Excellent written and verbal communication skills are critical for preparing reports responding to emails handling inquiries and communicating effectively with students staff and external stakeholders.
