The primary objective of this position is to provide comprehensive support to the Dean and facilitate the efficient operation of the College.
Administrative Support
The role includes various administrative tasks aimed at streamlining the Dean's workflow. Responsibilities involve coordinating meetings, managing agendas, compiling reports, arranging travel, and executing other essential administrative duties. A crucial aspect of this role is preparing a prioritized to-do list based on the urgency and importance of tasks. Additionally, the position entails assisting in the creation of PowerPoint presentations and other materials for the Dean.
The assistant is responsible for reminding the Dean about prioritizing tasks and scheduling meetings effectively. Raising requisitions within the procurement system and following up on the delivery of purchased items is also part of the job. Managing business travel arrangements for the Dean’s professional development, as well as following up on expense reports related to these travels, is essential. The assistant also supports other faculty members with similar requests.
New faculty orientation is another important responsibility, which includes familiarizing them with office spaces and the college’s layout. Document management is critical; this includes filing both electronic and paper correspondence appropriately. The assistant also aids in gathering required data, information, and accreditation documents, ensuring that all incoming correspondence is reviewed before reaching the Dean. Screening phone calls, virtual meetings, and in-person visits for the Dean is part of the role, along with undertaking additional tasks as requested by the Dean that relate to the College of Business and broader university needs.
This position also involves liaising with students and faculty to relay proposals aimed at enhancing procedures to the Dean. The assistant coordinates with various departments, including Admissions and Finance, regarding student exchanges, and manages student complaints by directing them to the appropriate personnel.
Daily operations of the College of Business fall under the assistant’s purview, which includes providing support for various projects and initiatives. Researching and benchmarking academic programs is essential to inform the development of new degree offerings. Collaborating with College Advisory Board members is crucial for gathering industry-relevant information for these programs and job opportunities for graduates.
