Job Description

Roles and responsibilities

Navigating the complexities of various government authorities is a critical aspect of ensuring smooth operations for any organization. This includes interfacing with key departments such as Immigration, the Ministry of Labor, the Municipality, the Traffic Department, the Department of Economy, Security, and airport services like Meet & Assist. The role involves submitting and collecting a variety of documents, meticulously evaluating the type of applications required, and typing necessary documentation to ensure compliance with all relevant regulations.

A significant responsibility lies in the preparation of documents prior to their submission. This includes completing forms accurately and ensuring that all requirements are met to avoid delays. Maintaining an organized balance file of submitted documents is essential for effective follow-ups, allowing for timely tracking of applications and their statuses. It’s crucial that all files are arranged properly for future reference, ensuring a streamlined filing system that supports both current and historical documentation needs.

Timeliness is vital when it comes to filing documents, and keeping detailed records of any payments made is equally important for proper invoicing and budgeting. This role also involves coordinating the company’s commercial registrations and memberships with the appropriate government bodies, facilitating smooth business operations. Providing support to employees and visitors is another key function, which includes supplying relevant contacts, addresses, and forms necessary for dealing with government departments.


Desired candidate profile

In addition to these tasks, obtaining municipal permissions for company projects is essential, and building new contacts within government departments can greatly enhance operational efficiency. When issues arise related to government agencies such as ministries, police, or customs, prompt assistance is provided to resolve these matters effectively. Handling all relevant correspondence ensures that communication is clear and efficient, keeping all parties informed.

Staying updated on changes in regulations and procedures is crucial. By communicating these updates to cooperating departments or individuals, the organization can maintain compliance with standard procedures and legal requirements. A systematic approach to filing and archiving all processed documentation is maintained, ensuring that sensitive information is handled appropriately, with due regard for urgency and confidentiality.

In addition to documentation tasks, responsibilities extend to managing the company’s car fleet to ensure all vehicles are maintained and ready for use.
