The role of the assistant to the Dean is vital for ensuring the efficient functioning of the College of Business. Key responsibilities include the preparation and organization of presentations, predominantly utilizing PowerPoint, to effectively communicate the Dean's vision and initiatives. This involves collaborating closely with the Dean to prioritize tasks and manage meeting schedules, ensuring that all engagements are well-planned and productive.
In addition to administrative support, the assistant is responsible for managing procurement activities. This includes raising requisitions within the system and diligently following up with the procurement department to track the delivery of purchased items. The assistant also oversees business travel arrangements for the Dean, facilitating professional development opportunities that contribute to the College’s strategic objectives. Following these trips, they assist in the completion and submission of expense reports, extending this support to other faculty members as needed.
Orientation of new faculty is another essential function. The assistant plays a crucial role in helping newcomers acclimate to their office space and understanding the college’s spatial layout. This foundational support fosters a welcoming environment that enhances faculty integration. Document management is equally critical; the assistant ensures that all correspondence, both electronic and physical, is filed appropriately, maintaining an organized repository of important information.
The assistant acts as a gatekeeper for the Dean’s office, meticulously reviewing all incoming correspondence and screening phone, virtual, and in-person calls. This process ensures that only pertinent issues reach the Dean, allowing for a more streamlined approach to communication and decision-making.
At the student and college level, the assistant serves as a liaison, relaying reports and proposals from students and faculty aimed at improving college procedures. They coordinate with various stakeholders, including students from external institutions, the Admissions office, Registration, Finance, and Student Affairs, particularly in relation to student exchange programs. Additionally, they manage student complaints, directing them to the appropriate channels for resolution.
Overseeing the day-to-day operations of the College of Business is another critical responsibility. The assistant provides essential support for various projects, initiatives, and working groups, contributing to the overall effectiveness of the college. This includes conducting research and benchmarking academic programs to inform the design of new degree offerings that align with industry demands.
Collaboration with the College Advisory Board is also key. The assistant gathers necessary information to ensure that degree programs meet industry standards and prepare graduates for job opportunities, enhancing the reputation and relevance of the College of Business in a competitive academic landscape.
