Job Description

Roles and responsibilities

The Executive Assistant will play a vital role in delivering high-level administrative support to the CEO and senior executives. This position demands an individual with strong organizational skills, the capability to prioritize tasks effectively, and a proactive mindset in managing the daily operations of executive functions. The selected candidate will be entrusted with handling confidential information with discretion and will be responsible for coordinating schedules and facilitating communication between executives and both internal and external stakeholders.

Key Responsibilities:

  1. Calendar Management: The Executive Assistant will be responsible for organizing and managing the executive’s daily calendar. This includes scheduling meetings, arranging travel, and coordinating events to ensure efficient use of the executive's time.

  2. Communication Liaison: Serving as the primary point of contact for the executive, the Executive Assistant will manage correspondence, which involves email management, handling phone calls, and drafting letters. Effective communication is essential in this role to maintain relationships with stakeholders.

  3. Meeting Coordination: The Executive Assistant will schedule and coordinate meetings, preparing agendas in advance, taking detailed meeting minutes, and following up on action items to ensure accountability and completion.

  4. Travel Management: This role involves arranging comprehensive travel itineraries, including accommodations and logistics for both domestic and international trips. Attention to detail is crucial in this aspect to avoid any travel disruptions.

  5. Document Preparation: The Executive Assistant will draft, review, and edit a variety of documents, including reports and presentations, on behalf of the executive. Strong writing skills are essential to produce clear and professional materials.

  6. Project Management: Assisting in the management of key company projects is a key responsibility. This includes tracking deadlines, ensuring timely completion of deliverables, and helping to maintain project progress.

  7. Event Coordination: The Executive Assistant will plan and coordinate various company events, meetings, and executive off-site activities, ensuring that all details are meticulously handled for a successful outcome.

  8. Expense Reporting: Preparing and submitting expense reports for the executive will be part of this role, requiring attention to detail to ensure accurate documentation and timely reimbursement.

  9. Confidentiality: A high level of discretion is required, as the Executive Assistant will maintain confidentiality in all communications and sensitive information handled.

  10. Ad Hoc Tasks: The role will involve providing general administrative support and managing special projects as needed, demonstrating flexibility and adaptability in a dynamic environment.


Desired candidate profile

Qualifications:

  • Experience: No prior experience is required for this role.
  • Education: A Bachelor’s degree in Business Administration or a related field is preferred.
  • Skills: The ideal candidate will possess exceptional organizational and time management skills, strong verbal and written communication abilities, and proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) along with other project management tools. The ability to work independently, prioritize tasks effectively, and manage multiple projects simultaneously is essential, along with a high level of professionalism and discretion in handling confidential information.
