Roles and responsibilities
The Executive Assistant will provide high-level administrative support to the CEO and senior executives. This role requires someone with good organizational skills, the ability to prioritize tasks, and a proactive approach to managing the daily operations of executive functions. The Executive Assistant will handle confidential information with discretion, coordinate schedules, and facilitate communication between executives and internal/external stakeholders.
Key Responsibilities:
- Calendar Management: Organize and manage the executive’s daily schedule, including meetings, travel arrangements, and events.
- Communication Liaison: Serve as the primary point of contact between the executive and internal/external stakeholders. Handle correspondence, including email management, phone calls, and letters.
- Meeting Coordination: Schedule and coordinate meetings, including preparing agendas, taking meeting minutes, and following up on action items.
- Travel Management: Arrange travel itineraries, accommodations, and logistics for both domestic and international trips.
- Document Preparation: Draft, review, and edit reports, presentations, and other documents on behalf of the executive.
- Project Management: Assist in the management of key company projects, track deadlines, and ensure timely completion of deliverables.
- Event Coordination: Plan and coordinate company events, meetings, and executive off-site activities.
- Expense Reporting: Prepare and submit expense reports for the executive and ensure proper documentation and reimbursement.
- Confidentiality: Maintain confidentiality in all communications and sensitive information.
- Ad Hoc Tasks: Provide general administrative support and handle special projects as needed.

Qualifications:
- Experience: No prior experience required
- Education: Bachelor’s degree in Business Administration or a related field preferred.
- Skills:
- Exceptional organizational and time management skills.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other project management tools.
- Ability to work independently, prioritize tasks, and manage multiple projects simultaneously.
- High level of professionalism and discretion in handling confidential information.
