Job Summary:
As a Leaves of Absence and Accommodation Administrator at PENA you will provide critical administrative support to the Leaves & Accommodations (L&A) team. This role involves handling sensitive information coordinating leave requests and ensuring compliance with company policies and legal requirements. The ideal candidate will have strong organizational skills experience with HR systems like Workday and the ability to manage multiple tasks efficiently.
Essential Duties and Responsibilities:
Email Management: Monitor the PENA inbox categorizing and forwarding emails related to Lincoln Hartford and Workers Compensation to appropriate L&A team members.
Report Handling: Retrieve and review reports from Lincoln and Workday to update the L&A employee (EE) tracker for both intermittent and continuous leaves as well as workplace accommodations.
Data Updates: Regularly update leave types and durations in Workday and manage related entries.
Communication Coordination: Review PIVOT (onsite clinic) emails and distribute them to relevant team members.
Research and CrossReferencing: Assist the L&A and HR teams by researching and crossreferencing data for intermittent leave entries.
Project Assistance: Participate in various HR projects as assigned by the manager.
EDUCATION:
High school diploma or equivalent required.
Some college education preferred.
Experience: Proven experience as an HR Coordinator Administrative Assistant or Data Clerk particularly in handling confidential and sensitive information. At least four (4) years of experience in this area is required. Familiarity with HR databases and HR Information Systems (HRIS) preferably Workday. Strong experience with Microsoft Office Suite (Word Excel PowerPoint and Outlook). Skills: o Excellent organizational and time management skills. o Strong problemsolving skills and attention to detail. o Ability to work independently and as part of a team fostering strong interdepartmental relationships. o Excellent verbal and written communication skills. o Critical thinking capabilities. o Ethical practice and global & cultural awareness. o Candidates who are fluent in Spanish are preferred. Schedule: Preferred schedule is Monday through Friday from Noon to 8 PM. Flexibility to work a partial weekend if necessary. Note on Office Work & Protective Equipment The incumbent will be expected to be onsite an average of four days a week. Adherence to PPE guidelines including safety shoes gloves safety glasses and face masks will be mandatory depending on the specific requirements of the task.
