Summary:
The Senior OnSite Service Specialist is responsible for a range of tasks including shipping and receiving products and supplies sorting and distributing incoming and outgoing mail/faxes and applying postage as needed. The role also involves providing maintenance and minor repairs for customer site equipment handling copier machines and performing additional duties such as bindery quality control housekeeping file services and reception tasks.
This position may also include responsibilities for light building maintenance and meeting room setup. Strong presentation and telephone skills are essential for the receptionist aspect of this role. The Senior OnSite Service Specialist reports directly to the Site Manager Site Supervisor or Assistant Site Manager depending on the sites structure.
Key Responsibilities:
- Operate highvolume copiers binding and finishing equipment.
- Manage highvolume document imaging systems and associated software.
- Utilize Microsoft Office and email systems to open send and retrieve files.
- Access and transfer files using established protocols for document management systems.
- Perform daily maintenance checks on copiers clear paper jams and report issues to technicians.
- Maintain records for management reporting and inventory of office supplies.
- Handle incoming and outgoing mail and fax transmissions applying postage as required.
- Ensure the upkeep of copier areas and distribute office supplies.
- Respond to customer inquiries and coordinate service calls as needed.
- Assist with building maintenance meeting room setups and conference room arrangements.
- Perform occasional cleaning duties and light maintenance such as relamping and building occupant moves.
- Operate various equipment including shrinkwrap machines paper cutters bindery tools electric staplers and scales.
- Travel between customer buildings as required.
Qualifications:
- High school diploma or GED with 12 years of relevant experience.
- Basic experience in copy/printing services preferred.
- Valid drivers license and auto insurance may be required based on company policy.
Skills & Abilities:
- Excellent customer service and communication skills.
- Proficiency in PC use and office equipment handling.
- Strong organizational skills with the ability to prioritize tasks.
- Basic mathematical and filing skills.
Physical & Work Environment:
- Typical office environment with moderate physical activity including standing walking bending and lifting items up to 55 lbs.
- May require occasional overtime including nights and weekends for emergency response.
- Some tasks involve moving heavy machines on wheels for repairs.
