The HR department is tasked with executing various administrative functions to ensure the seamless operation of personnel management and financial processes. This includes handling Purchase Requests (PRs), managing due payments to agencies, organizing meetings, overseeing onboarding procedures, and addressing employee requests and tickets. The focus is on maintaining efficient workflows and supporting departmental objectives.
Key Accountabilities
The role involves coordinating HR administrative tasks with relevant parties and subject matter experts (SMEs) as necessary. This includes obtaining required approvals and signatures for a range of personnel operations. The responsibilities encompass:
Employee Relations: Addressing employee complaints and requests through the designated system. This involves generating identification letters, monitoring probation periods, and compiling attendance reports. All services provided must align with company policies and meet established standards, in collaboration with HR Care at the head office.
New Employee Registration: Responsible for registering new employees in the HR system and ensuring proper filing and documentation of clinic personnel. This must comply with company guidelines and related accreditation standards.
Termination Processes: Managing the termination process for employees within the clinic, ensuring that all requirements are fulfilled and submitting the necessary documentation.
Onboarding Coordination: Overseeing the onboarding process for new hires by coordinating with all relevant stakeholders. This includes sending necessary communications, creating IT or HR requests, and organizing the induction schedule to guarantee availability.
Employee Requests Management: Handling all employee-related requests and liaising with governmental agencies such as HRDF, Tamheer, and Taqat. This requires close coordination with HR Care at the head office to ensure compliance and support.
Project Participation: Actively participating in HR departmental projects aimed at enhancing clinic operations, such as Organization Design and Talent Sourcing, as needed to bolster the HR function.
Financial Processes: Executing the payment processes that involve both internal and external parties. This includes managing monthly commission payments with Finance, coordinating medical insurance payments, and settling invoices for external agencies. Responsibilities include following up on necessary signatures and creating Purchase Requests (PRs) and Payment Orders (POs) to ensure that all departmental payments are processed accurately and on time.
