Job Description

We are currently looking for a Bid Office and Contracts Manager to join our team who will be responsible for managing the endtoend bid processes of the business.

What Will You Do

Key Responsibility:

Bid Coordination:

  • Coordinate the entire bid lifecycle from identifying opportunities to the submission of proposals ensuring all deadlines are met.
  • Collaborate with internal teams (e.g. sales finance and technical departments) to gather necessary information for bids.
  • Maintain an uptodate bid library including reusable content templates and case studies.
  • Prepare bid documents (RFP RFQ and RFI responses) ensuring accuracy consistency and compliance with client requirements.
  • Review and edit proposals for quality clarity and alignment with client needs.
  • Track bid progress submissions and outcomes and provide regular status updates to stakeholders.

Contract Process Management:

  • Administer and manage the endtoend contract process for both client and partner contracts ensuring all legal and business terms are met.
  • Draft review and edit contracts including NDAs client agreements and partnership agreements in collaboration with the legal team.
  • Ensure compliance with corporate policies legal regulations and contractual obligations.
  • Maintain a centralized contract repository for tracking updating and managing contract versions.
  • Coordinate contract approvals signatures and renewals managing deadlines for renewals and amendments.
  • Act as the primary point of contact for contractrelated queries and support.

Documentation and Reporting:

  • Create and maintain accurate records of bids contracts and related documents.
  • Prepare regular reports on bid performance and contract status highlighting risks and opportunities.
  • Ensure all documentation is archived and easily accessible for audit and reference purposes.
  • Drive continuous improvement through postbid reviews both internally and with customers.

Who Do You Need to Be

  • Relevant Bachelors degree
  • 4 years of experience in bid coordination and contract management in the Technology & Consulting industry.
  • Familiarity with contract law and contract lifecycle management.
  • Thorough understanding of bid process management requirements and dynamics.
  • Evidence of excellent organization & administrative skills with stringent attention to detail and strong time management and prioritization skills.
  • Excellent analytical interpersonal organizational and communication skills.
  • Previous experience dealing with high volume of work and data in a pressurized environment.
  • Strong project management skills with the ability to manage multiple bids and contracts simultaneously.
  • Excellent written and verbal communication skills.
  • High attention to detail and organizational skills.
  • Proficient in Microsoft Office (Word Excel PowerPoint) and contract management software/tools.
  • Ability to work effectively under pressure and meet tight deadlines.
