Position Overview:
We are seeking a highly organized techsavvy Real Estate Administrative Manager to support our leadership team and new agents in executing our vision for success. This role is crucial in ensuring smooth daily operations efficient onboarding of agents and seamless administrative support to maintain the highest level of client satisfaction.
Key Responsibilities:
Administrative Support:
- Oversee daytoday office operations ensuring efficiency and organization.
- Manage phone calls emails and correspondence on behalf of the leadership team.
- Prepare real estate documents such as agreements listings contracts and reports.
- Maintain and organize digital and physical files using tech solutions for streamlined processes.
- Support with the creation of checklists and SOPs for daily operations.
Agent Onboarding:
- Lead the onboarding process for new agents including orientation training and setting up tech tools.
- Ensure all agents have access to tech platforms social media resources and CRM systems.
- Provide ongoing support for new agents as they familiarize themselves with the brokerages systems
Client Relations:
- Act as the first point of contact for clients providing information and assistance with professionalism and courtesy.
- Coordinate client meetings property visits and followups.
- Maintain an uptodate CRM ensuring client information is accurate and accessible to the team.
Tech & Social Media Integration:
- Collaborate with the Broker of Record to integrate tech solutions and social media strategies into daily operations.
- Assist with social media management posting updates on listings open houses and brokerage events.
- Utilize real estate software and tools to track performance metrics and provide reports to leadership.
Office Management:
- Order office supplies manage vendor relationships and ensure the office environment is clean and welcoming.
- Coordinate office events agent meetings and training sessions.
- Track and monitor office expenses budgets and commission payments.
Compliance & Documentation:
- Ensure compliance with all legal and regulatory requirements for the brokerage.
- Monitor deadlines renewals and updates for licenses and certifications.
- Manage the storage and retrieval of essential legal documents.
Team Collaboration:
- Act as a liaison between leadership agents and external parties such as vendors clients and contractors.
- Ensure clear communication among the team and streamline workflow for maximum efficiency.
- Provide administrative support for companywide initiatives and special projects.
Qualifications:
- Proven experience in real estate administration or management.
- Strong organizational skills with attention to detail.
- Techsavvy with experience in real estate platforms (CRM MLS DocuSign) and social media.
- Excellent communication and interpersonal skills.
- Ability to multitask and prioritize in a fastpaced environment.
- Knowledge of real estate transactions documentation and compliance.
Preferred Skills:
- Familiarity with real estate portals (MLS LoneWolf etc)
- Experience supporting agent onboarding and training.
