About the Position:

Join our dynamic team as a Administrative Coordinator where youll play a vital role in delivering exceptional care to our patients. Were seeking a compassionate and proactive individual who can implement feedback from patients and staff to enhance our treatment quality. Youll lead initiatives to ensure each patient receives personalized care while adapting to the evolving needs of our clinic.     Primary Responsibilities:

    • Coordinate office activities to ensure efficiency and compliance with company policies.
    • Support smooth clinic operations and contribute to sustainable growth.
    • Become proficient in HubSpot for task management and communication.
    • Respond promptly to emails and manage records requests from various sources.
    • Facilitate patient referrals and followup communications.
    • Handle documentation including saving reports and updating patient files.
    • Prepare patient lists and check balances for upcoming appointments.
    • Maintain accurate SOAP notes and resolve any discrepancies.
    • Process new patient paperwork and ensure completeness in HubSpot.
    • Create and send necessary letters including medical necessity and referrals.
    • Collaborate with the PCC team to share confirmed patient information and other requests.

        Requirements:

        • BSc/BA in office administration or related field preferred.
        • 2 years of experience in an office administration or assistant role.
        • Detailoriented with familiarity in office management and basic accounting principles.
        • Professional demeanor with strong communication and interpersonal skills.
        • Organized able to manage multiple projects and meet deadlines.
        • Willingness to learn and adapt in a fastpaced environment.
        • Committed to team goals and open to feedback for continuous improvement.


        Helpful Skills & Experience:

        • Additional qualifications or certifications in secretarial studies will be an advantage.
        • Speaks English & Spanish.
        • Familiarity with Hubspot CRM QuickBooks and Microsoft 365 is a plus.
