Job Description

Our client is seeking a highly organised and detailoriented Legal Secretary to join their prestigious global law firm. In this role you will provide essential secretarial and administrative support to a director and their team of associates within the Litigation Insurance department.

Key Responsibilities

  • Diary Management: Keep the diary uptodate schedule meetings and resolve conflicts.
  • Meeting Coordination: Arrange meeting logistics including rooms equipment and materials.
  • Travel Coordination: Organize travel arrangements for directors.
  • Document Production: Prepare and distribute documents and presentations ensuring quality and format adherence.
  • Filing and Archiving: Manage filing and archiving of documents maintaining confidentiality and compliance with policies.
  • Debt Management: Monitor debtors books handle invoicing and manage outstanding invoices.
  • Time and Billing Support: Track and manage time address billing queries and ensure timely invoicing.
  • Business Development Assistance: Help with presentations bid documents client contact lists and marketing materials.
  • Office Management: Provide administrative support manage workload and address office maintenance issues.
  • Client Liaison: Assist with client queries maintain professional communication and support the secretarial team.

Required Qualifications and Experience

  • Grade 12.
  • A relevant secretarial qualification would be an advantage.
  • Dictaphone typing Experience
  • Minimum of 35 years legal secretarial; and
  • Sound knowledge of MS Office (ie MS Word Excel & PowerPoint).
