Job Description

Job Type: Fulltime/Permanent

Requirements

  • Completed Matric qualification
  • Previous experience in a receptionist or administrative role (preferred but not required)
  • Excellent verbal and written communication skills
  • Friendly and approachable demeanor with a focus on customer service
  • Ability to manage multiple tasks efficiently and maintain an organized workspace
  • Basic knowledge of Microsoft Office (Word Excel Outlook) and ability to quickly learn new software
  • Effective time management skills
  • Professional and neat appearance
  • Ability to multitask including answering calls and greeting visitors simultaneously
  • Accuracy in taking messages scheduling appointments and performing clerical duties
  • Ability to work collaboratively with colleagues and other departments
  • Experience using a switch board is advantageous.


Responsibilities

  • Greet visitors in a warm friendly and professional manner
  • Handle incoming phone calls direct calls to appropriate staff and take accurate messages when necessary
  • Schedule appointments and manage the calendar for office staff
  • Sort and distribute incoming mail and handle outgoing mail and packages
  • Provide administrative support including data entry filing and scanning documents
  • Ensure the reception area is clean organized and wellmaintained
  • Respond to general inquiries from visitors and callers providing accurate information or directing them to the appropriate person
  • Monitor and manage office supplies inventory ordering supplies as needed
  • Assist other departments with clerical or administrative tasks as required
  • Follow office security procedures such as logging visitors and issuing visitor passes
  • Handle sensitive information and documents with discretion and confidentiality
