Sweve Tech LTD is a leading engineering consulting firm dedicated to providing innovative solutions to our clients in specific industries e.g. construction infrastructure technology. We are looking for a highly organized and proactive Virtual Assistant to support our team and enhance our operational efficiency.
As a Virtual Assistant you will play a key role in supporting our engineering consultants and project managers by handling administrative tasks managing communications and ensuring smooth project operations. This position requires excellent communication skills attention to detail and the ability to multitask in a fastpaced environment.
Key Responsibilities:
- Administrative Support: Provide administrative assistance including scheduling meetings managing calendars and coordinating travel arrangements for engineering team members.
- Document Management: Assist in preparing formatting and proofreading engineering reports proposals and presentations to ensure accuracy and professionalism.
- Project Coordination: Support project managers in tracking project timelines deliverables and budgets. Assist with project documentation and file management.
- Communication Management: Handle incoming emails and phone calls directing inquiries to the appropriate team members and ensuring timely responses to clients and stakeholders.
- Research Support: Conduct preliminary research on engineering topics industry trends and competitor analysis to support project development and business proposals.
- Data Entry: Maintain and update databases project management tools and other digital platforms to ensure accurate and uptodate information is readily available.
- Meeting Coordination: Organize and coordinate virtual meetings including preparing agendas taking minutes and following up on action items.
Qualifications:
- Bachelors degree in business administration engineering or a related field (preferred but not required).
- Previous experience as a virtual assistant or in an administrative role is a plus.
- Strong proficiency in Microsoft Office Suite (Word Excel PowerPoint) and familiarity with project management software (e.g. Asana Trello).
- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Ability to work independently and manage time effectively in a remote setting.
- Basic understanding of engineering concepts is a plus.
