About the position
The primary objective of this position is to ensure effective administrative support for the Office of the Associate Director General ADG and its subunits. In addition the administrative analyst will be in charge of assisting in logistical and operational matters working in cooperation with the BioversityCIAT Alliance support offices and collaborators in the different regions.
The position will be based in the operations center of the Americas located in the Campus of Palmira Colombia.
Key Responsibilities
Coordinate and oversee administrative activities for the ADG office and its subunits ensuring seamless operations and timely followup on all matters.
Organize the ADG s agenda ensuring strategic prioritization and timely delivery of responses for meetings budget approvals and other key matters.
Coordinate travel arrangements including flight bookings insurance visa requirements and urgent cases ensuring smooth and prompt reimbursements.
Track and monitor the of the Strategic Activities Fund budget providing updates and reports as needed.
Oversee unit budgets related to travel events services and contracts ensuring accurate tracking and budgetary compliance.
Organize logistics for visitors to the office and ensure proper hospitality arrangements.
Assist in the organization of key events for the ADG office coordinating logistics participants and other eventrelated details.
Manage consulting contracts ensuring proper coordination of agreements report tracking and expenditure documentation.
Support recruitment processes by gathering required documentation and information as needed.
Provide regular reports to the ADG on administrative matters budget and ongoing projects.
Contribute to the efficiency and effectiveness of the office by ensuring streamlined processes and providing strategic administrative insights
Requirements
Bachelor s degree in business administration economics accounting finance and related fields.
Minimum experience of 3 to 5 years in administrative support procedures and customer service.
Advanced proficiency in the Microsoft Office suite especially Excel.
Advanced English level (fluent oral and written).

Excellent communication skills both written and oral in English and Spanish.
Strong interpersonal abilities with a demonstrated capacity to build and maintain productive working relationships with colleagues and external stakeholders.
Exceptional organizational and planning skills with attention to detail.

Terms of employment
This is a national recruited position placed at a BG07 in a scale of 14 levels with level 14 being the highest. This is a Colombian national search and will be managed through a fixed term contract of a one (1) year period subject to a probationary period in accordance with local legislation and renewable based on performance and resource availability. Master s degree in agricultural, environmental, or biological sciences, international development, business administration, science communications, or related fields. Advance English level with proven high-level verbal and written communication skills. Minimum 5 years of relevant experience in supporting resource mobilization and research proposal development, particularly in agriculture, environment, rural development, or natural/social sciences.
