As a lean team of young international and passionate talents weve recently reached breakeven and are gearing up for the next phase of growth. We are looking for an outstanding individual who wants to join an exciting early stage startup as a Team Assistant (parttime) to work closely with our senior management and a highly motivated team.
Tasks
As Team Assistant (parttime) you will join the team for upto 30 hours per week and play a critical role in welcoming and onboarding new employees employer branding and general management of the office. You will enable our people to do their best work while supporting internal operational excellence. Your tasks will include:
People Operations
- Creating and executing an amazing onboarding experience
- Providing new hires with access to systems and tools
- Documenting HR Practices and create a FAQ for team members
- Creating and executing an offboarding experience that is worthy of Vanilla Steel
- Serving as the first line of contact for all team member inquiries
- Promoting our values and culture
Talent Acquisition
- Supporting Talent Acquisition efforts through ATS optimization reporting and scheduling interviews when necessary
- Collaborating with Hiring Managers to understand and implement the hiring plan for each job requisition
- Ensuring candidates receive timely thoughtful and engaging messaging throughout the hiring process
- Managing candidate traffic for all roles
Office Management
- Organizing day to day office operations and social events
- Overseeing stock of office supplies and managing post
- Organizing travel bookings for all members of the team
- Managing Health Safety and Security within the office
- Ensuring cleanliness and employee comfort in the office space
Administration
- Scheduling for management team when necessary
- Preparing presentations for the team and for management
- Assisting with and completing ad hoc projects reporting and tasks
Requirements
- People Operations and/or Team Assistant experience in a fast paced environment
- Enthusiastic passionate & positive people person who live and breathe organization
- Calmness under pressure can effectively prioritize multitask and manage time
- Exceptional organization skills and strong attention to detail with a keen eye for accuracy
- Emotional intelligence
- Superior problemsolving skills and the ability to be empathetic
- Strong MS Office (Google Workspace) skills
- Excellent English (C1) basic German
