Job Description

Job Summary: The Procurement Administrator is responsible for supporting the procurement team by handling administrative tasks related to purchasing goods and services. This role involves managing purchase orders maintaining accurate records coordinating with suppliers and ensuring compliance with procurement policies and procedures.

Key Responsibilities:

  1. Purchase Order Management:

    • Create review and process purchase orders (POs) in alignment with company guidelines.
    • Track the status of orders and ensure timely delivery of goods and services.
    • Address any issues related to incorrect or delayed shipments by coordinating with suppliers and internal teams.
  2. Supplier Coordination:

    • Communicate with suppliers to confirm order details delivery schedules and pricing.
    • Maintain a comprehensive database of supplier contacts and performance records.
    • Assist in the evaluation and selection of new suppliers.
  3. Documentation and Record Keeping:

    • Maintain accurate and uptodate records of all procurement transactions including POs contracts and invoices.
    • Ensure proper documentation is obtained and filed for audit purposes.
    • Prepare reports on procurement activities including order status and supplier performance.
  4. Compliance and Quality Assurance:

    • Ensure that all procurement activities comply with company policies procedures and legal requirements.
    • Work closely with the quality assurance team to verify that purchased goods meet the companys quality standards.
  5. Inventory Support:

    • Collaborate with the inventory control team to monitor stock levels and reorder supplies as necessary.
    • Assist in reconciling inventory discrepancies and conducting regular inventory audits.
  6. Cost Control and Budgeting:

    • Support the procurement team in monitoring and controlling costs by comparing prices and identifying opportunities for cost savings.
    • Assist in preparing budget reports and tracking expenditure against budgets.
  7. CrossFunctional Collaboration:

    • Work with various departments including finance logistics and production to ensure smooth procurement processes.
    • Participate in crossfunctional meetings to discuss procurement needs and address any related challenges.
  8. System Management:

    • Enter and maintain procurement data in the companys ERP system.
    • Assist in troubleshooting system issues and suggest improvements to enhance efficiency.

Qualifications:

  • Education: Associates or Bachelors degree in Business Administration Supply Chain Management or a related field.
  • Experience: 13 years of experience in procurement purchasing or administrative roles.
