JOB SUMMARY:


The Office Services Specialist is often the first person interacting with clients staff and guests and is responsible for ensuring that all are provided with the support information tools and services they need to ensure their inoffice experience exceeds their expectations. The success of this role will require this individual to exude Fusion92 s core values of Curiosity Fearlessness Teamwork and Leadership as you will manage the daytoday procedures and systems that create our stellar work environment while acting as the goto concierge on site assisting our organization as we continue to understand how to best support our clients and staff s needs. Along with the Director of Office Services locally and other key members of the operations team in Chicago you will help support and execute the vision of Fusion92s office culture services and facilities.

Location:


Candidates must be located in Michigan and in communiting distance to our Farmington Hills location. There is opportunity for this role to be hybrid with select days working remotely where the work allows however this role will primarily be in person.


GENERAL RESPONSIBILITIES:


  • Own and excel at being the center of office services support and local needs in our Farmington Hills office.
  • Greet and assist guests and clients assisting in meeting room scheduling directing to items or areas giving tours and otherwise maximizing each visitor s experience
  • Supply ordering and storage finding efficiencies and simplifying the processes involved in purchasing/procurement with the goal of keeping the office stocked and organized within budget
  • Deliveries and shipping from regular daily needs to larger or ongoing internal projects
  • Ensure high levels of customer serve are provide to clients staff and guests by managing the following office functions
  • Event planning (regular and adhoc internal as well as client events)
  • New employee equipment ordering and delivery
  • Welcome package assembly and desk setup
  • Food and beverage services including but not limited to restocking of kitchen ordering lunch setting up happy hours.
  • Ongoing attention to officeappearance / cleanliness / organization and communicating with staff and vendors to resolve when applicable and directly handling at times when needed
  • Work with our Office Concierge and other Operations staff from other offices to coordinate events and meetings
  • Providing guidance on maximizing the experiences of those utilizing the local office as well as helping all to solve any challenges present in the hybrid office environment
  • Manage vendor information and relationships
  • Use and improve Fusion92 s support ticketing system used to track and complete requests
  • Assist other members of the Operations team in various projects
  • Supports the People (HR) Team with occasional tasks including but not limited to shipment of gifts in office reporting and people experience related activities
  • IT onboarding and supply ordering/returns
  • Finance related tasks
  • Assist staff in using technology in conference rooms and help guests with basic technology needs
  • Maintain a high level of confidentiality in all duties
  • Assists in office moves or seating arranagements when they occur which may include both office locations (Chicago and Detroit)
  • Ensures a high level of safety for our team members by keeping our area secure and protecting the confidentiality of our work where possible
  • Assume other duties as directed by supervisors and other executives

Requirements :

KNOWLEDGE/SKILLS/ATTRIBUTES REQUIRED:

  • 13 years of relevant experience in administration or customer services
  • Must have strong interpersonal communication skills across all channels (live conversation phone email etc) and with variety of parties (employees management clients vendors guests etc)
  • Customer service experience with executives and clients
  • Experience with Microsoft Word Excel Outlook and Power Point
  • Relevant experience with video conferencing equipment use as well as office equipment
  • Must be highly organized and maintain a professional appearance
  • Highly selfmotivated with the ability to multitask and able to work with minimal oversight
  • High level of judgement and confidentiality
  • Punctual positive energetic and proactive
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to move freely and safely throughout office environment including confined spaces
  • Must be able to lift up to 15 pounds at times and the ability to assist with office moves including moving of furniture or other office items
  • Experience in advertising or marketing is a plus
  • Technical experience also a plus
  • Event coordination


The hiring range for this discipline within our industry is $60000 to $75000. Where an employee is paid within this range will depend on multiple factors including but not limited to location years of experience education internal pay structure and other contributing factors.
