Job Description

Position Title: Senior / Operations Manager (m/f/d)

Department: Operations

Reports To: Head of Operations

Roles and Responsibilities:

1. Portfolio Management

    • Coordination of the development and maintenance of the project portfolio ensuring alignment with organizational goals and strategies.
    • Coordination of the prioritization of the projects within the portfolio based on strategic objectives resource availability and risk factors.
    • Monitor and report on the status of portfolio projects identifying and addressing potential issues and risks.

    2.Project Planning and Execution

    • Define project scopes objectives deliverables and success criteria in collaboration with stakeholders.
    • Develop comprehensive project plans including timelines budgets and resource allocation.
    • Oversee the execution of multiple projects ensuring adherence to project plans and organizational standards.

    3. Resource Management

    • Coordinate and allocate resources across portfolio projects to optimize efficiency and productivity.
    • Monitor resource utilization and adjust allocations as necessary to meet project demands and deadlines.

    4. Stakeholder Engagement

    • Serve as the primary point of contact for portfolio projects facilitating communication and collaboration among stakeholders.
    • Conduct regular stakeholder meetings to provide updates address concerns and gather feedback.
    • Manage stakeholder expectations and ensure satisfaction with project outcomes.

    5. Risk Management

    • Identify assess and mitigate risks across the project portfolio.
    • Develop and implement risk management plans and contingency strategies.
    • Monitor risk factors and take proactive measures to address potential issues.

    6. Performance Tracking and Reporting

    • Establish and track key performance indicators (KPIs) for portfolio projects.
    • Prepare and present regular status reports to senior management and other stakeholders.
    • Conduct postproject evaluations to identify lessons learned and areas for improvement.

    7. Continuous Improvement

    • Implement best practices and methodologies for project management and portfolio management.
    • Foster a culture of continuous improvement and knowledge sharing within the project management team.
    • Stay current with industry trends and advancements in project and portfolio management.

    Qualifications:

    • Bachelors degree in project management Business Administration or a related field. Masters degree or PMP certification preferred.
    • Minimum of 5 years of experience in project management with at least 3 years managing a project portfolio.
    • Proven track record of successfully managing multiple projects simultaneously delivering projects on time and within budget.
    • Strong knowledge of project management methodologies tools and best practices.
    • Excellent organizational analytical and problemsolving skills.
    • Exceptional communication and interpersonal skills with the ability to engage and influence stakeholders at all levels.
    • Proficiency in project management software (e.g. Microsoft Project Asana JIRA) and Microsoft Office Suite.
    • Ability to work independently and as part of a team in a fastpaced dynamic environment.
