Job Description

Overview

An executive assistant to Chairman plays a crucial role ensuring the smooth operation of the organization. This role is essential in handling administrative tasks coordinating schedules and facilitating communication within the company. The executive assistant is entrusted with maintaining confidentiality managing information flow and representing the executives to others. The position demands a high level of organizational skills flexibility and proactive problemsolving abilities to ensure efficient operations.

Key responsibilities

  • Manage executives calendar and appointments effectively
  • Coordinate executive communications including taking calls responding to emails and interfacing with clients
  • Organize and maintain files records and documents in a confidential manner
  • Arrange and coordinate travel itineraries and logistics
  • Prepare reports presentations and briefs for executives
  • Conduct research and compile data for various projects and presentations
  • Coordinate and facilitate meetings including preparing agendas and taking minutes
  • Handle administrative tasks such as processing expenses invoices and managing office supplies
  • Act as the point of contact between the executives and internal/external stakeholders
  • Assist in organizing company events conferences and team activities
  • Manage special projects and conduct followups on various action items
  • Handle sensitive information and maintain confidentiality
  • Prioritize and manage multiple tasks simultaneously
  • Anticipate the needs of the executives and proactively handle any potential issues
  • Adapt to changing situations and requirements with flexibility and a positive attitude
