Job Description

  • Answer and direct phone calls
  • Handling office tasks such as filing generating reports and presentations setting up for meetings and reordering supplies
  • Provides administrative support to ensure efficient operation of office
  • Organize and schedule appointments
  • Providing realtime scheduling support by booking appointments and preventing conflicts
  • Answers phone calls schedules meetings and supports visitors
  • Plan meetings and take detailed minutes
  • Making travel arrangements such as booking flights cars and making hotel and restaurant reservations
  • Carries out administrative duties such as filing typing copying binding scanning etc
  • Write and distribute email correspondence memos letters faxes and forms
  • Screening phone calls and routing callers to the appropriate party
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Using computers to generate reports transcribe minutes from meetings create presentations and conduct research
  • Supports team by performing tasks related to organization and strong communication
  • Update and maintain office policies and procedures
  • Maintain polite and professional communication via phone email and mail
  • Maintains supplies inventory by checking stock to determine inventory level anticipating needed supplies placing and expediting orders for supplies
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers


Requirements

  • Proven experience as an Administrative Assistant Virtual Assistant or Office Admin Assistant
  • Associate s Degree in a related field
  • 3 years of administrative assistant experience
  • Proficiency in MS Office (MS Excel and MS PowerPoint in particular)
  • Multilingual may be preferred or required
  • Excellent time management skills and the ability to prioritize work
  • Desire to be proactive and create a positive experience for others
  • Strong organizational skills with the ability to multitask
  • Working knowledge of office equipment like printers and fax machines
