Data Driven Detroit (D3) is seeking an experienced and enthusiastic individual to join our team as Office Manager Bookkeeper! This is a fulltime salaried position with a starting salary range of $52000 $62000 per year. This is primarily a remote position with occasional attendance at inperson meetings or events. A desk in the D3 office is available should the selected candidate wish to work partially or entirely inperson.

At D3 we work every day to improve access to information for everyone in Metro Detroit. We partner on projects with a wide variety of organizations including nonprofits governments and universities and work in a fastpaced environment where attention to detail and timely communication are essential. The Office Manager Bookkeeper will serve as the backbone coordinating both internal support and benefits systems for our team as well as external communication and coordination with project and organizational partners. This position s duties span administration of payroll and benefits ensuring compliance with grant and tax requirements supporting organizational accounting and bookkeeping and calendar management for the CoExecutive Directors and the project team. Your typical days will include communication with partners and benefits administrators scheduling meetings and conducting administrative and accounting duties to help the organization run smoothly.

If you re selected for this job you ll join a dynamic work environment where suggestions and critical thinking are welcomed. Your specific responsibilities will include:

Scheduling travel events (approximately 30% of time)
  • Making travel arrangements and coordinating logistics for team members as needed
  • Preparing for inperson meetings including logistics refreshments etc as needed

Human resources (approximately 30% of time)
  • Handling confidential and sensitive information with precision and sensitivity
  • Managing relationships with benefit partners and liaising between benefits partners and staff
  • Assisting with onboarding and offboarding of team members
  • Maintaining personnel files
  • Ordering office supplies and distributing them as needed
  • Supporting the CoExecutive Directors in ensuring state and federal compliance of the organization and its practices

Accounting payables receivables (approximately 40% of time)

  • Regular bookkeeping and financial monitoring for the organization in QuickBooks Online
  • Managing organizational payables and ensuring timely payment of existing bills
  • Making occasional bank deposits
  • Administering payroll and benefits payments for the organization
  • Assembling documentation for tax filings and making tax payments
  • Preparing expenditure responsibility reports for grants


Requirements

  • 10 years of experience working with operations and administrativerelated positions
  • Proficiency with accrualbased accounting
  • Experience with QuickBooks Online
  • Experience administering benefits programs
  • Proficiency with Google Suite Tools (Calendar Drive and Gmail)
  • Proficiency with Microsoft Office Suite (Word PowerPoint and Excel)
  • Ability to craft professional tactful and succinct email messages
  • Strong attention to detail
  • Ability to manage multiple priorities and solve problems independently
  • Ability to exercise discretion when handling politically sensitive and confidential matters
  • Familiarity with the nonprofit sector is a bonus but not required
