Job Description

We are looking for the Business Coordinator, who will collaborate closely with the executive team to support and drive the operation and growth of the business. This role entails proactive communication with all stakeholders, meticulous calendar management, business development assistance, and involvement in HR activities such as attending trade shows. The ideal candidate will have extensive experience in multitasking for a team, prioritizing projects, and recognizing the urgency of the workflow. They should be adept at seamlessly integrating into various situations, communicating effectively with stakeholders and clients, and maintaining a professional demeanor. Our client is a dynamic and innovative technology solutions company based in Baltimore, Maryland, specializing in designing and implementing cutting-edge solutions. They are currently seeking an experienced Business Coordinator to join our team. The successful candidate will play a pivotal role in helping to manage a fast-paced, growing firm.

What to do:
  • Have a clear understanding of business priorities, including active contracts in the pipeline, pending contracts
  • Provide administrative support to Project Managers, Project Engineers, and others as needed
  • Aid with the collection, review, status, and organization of project documentation and deliverables
  • Prepare and distribute routine reports using word processing and spreadsheets
  • Other basic administrative tasks on an as-needed basis as required
  • Attend project meetings and take and distribute notes as needed
  • Schedule vendor and staff presentations, take notes, and secure refreshments for staff as needed for these meetings
  • Use SalesForce to support and track business development activities
  • Assist in preparing written materials, including correspondence, reports, and submittal packages
  • Conduct quality/accuracy reviews of written materials before distribution to clients
  • Support the ongoing growth of the company and its staffing needs by attending industry trade shows and other recruiting activities, such as job postings on Linked In and other media.

You have:
  • U.S. Citizen
  • Active DoD Secret Clearance or ability to obtain one
  • Bachelor’s degree in business or a relevant area
  • 3–5 years of experience as an Executive Assistant (who has supported a team of 4+) or Project or Business Coordinator position
  • Ability to coordinate and maintain project files and correspondence
  • Ability to work in a fast-paced environment with competing priorities; ability to gauge urgency
  • Excellent interpersonal skills
  • Ability to communicate effectively both orally and in writing with management, staff, and external stakeholders.
  • Proficiency with Microsoft Office tools, including Word, Project, PowerPoint, Outlook, and Excel.
  • High degree of organization and time-management skills.
