Job Description: LATAM Executive Assistant
Job Responsibilities:
- Calendar Management: Coordinate and manage schedules ensuring all internal and external meetings are arranged efficiently.
- Internal Communication Support: Facilitate internal communications ensuring all necessary conversations take place with or without the involvement of key executives.
- Meeting Participation: Attend meetings take detailed notes and assist clients in digesting and acting upon the information discussed.
- Email Management: Monitor and manage emails ensuring important messages are not missed and the client has time to address them.
- Synthesis and Documentation: Assist in synthesizing information from donors and align it with the technology roadmap. Keep the internal wiki updated.
- Technology Advisory Board Liaison: Develop strategies for the client to effectively interact with the technology advisory board.
- Project Management: Coordinate project tasks and make sure all necessary parties are aligned and informed.
- Software Utilization: Use various software tools including Confluence Asana and Meta Base for data visualization and project tracking.
- Provide highlevel administrative support to LATAM executives.
- Manage executives' calendars including scheduling meetings appointments and travel arrangements.
- Prepare correspondence reports and presentations for executives.
- Coordinate and facilitate communication between executives and internal/external stakeholders.
- Handle confidential information with discretion and professionalism.
- Assist with special projects and initiatives as assigned.
Essential Qualifications:
- 35 years proven experience as an executive assistant or similar role supporting highlevel management.
- Proficient in Wiki (internal documentation) Confluence VPN Asana (project management) and Meta Base (data visualization) preferred.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills in English and Spanish.
- Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook).
- Ability to multitask prioritize tasks and work efficiently under pressure.
- Experience working in a healthcare or nonprofit organization.
- Knowledge of health equity issues and social determinants of health.
