Sagan is representing the leading plumbing company in Chicago and Chicagoland dedicated to providing topnotch services to property managers. The company is seeking a highly organized and proactive Remote Assistant Property Manager to join their team.
Job Overview:
As an Assistant Property Manager you will play a crucial role in supporting property managers with their plumbing issues efficiently and professionally. Your responsibilities will include customer communication job coordination postsite visit reporting task and appointment management and providing administrative support to the department head.
Key Responsibilities:
- Customer Communication:
- Send emails and messages to customers promptly and professionally.
- Respond to customer inquiries and provide timely updates on job status.
- Coordinate with property managers and other stakeholders to ensure seamless communication.
- Job Coordination:
- Help schedule and coordinate plumbing jobs with field technicians and property managers.
- Ensure all necessary instructions and communications are sent to relevant parties.
- Track job progress and follow up on pending tasks.
- PostSite Visit Reports:
- Create detailed and accurate postsite visit reports.
- Organize maintain and improve customerfacing job reports.
- Task and Appointment Management:
- Organize and prioritize tasks to ensure efficient workflow.
- Schedule and remind the department head of meetings appointments and deadlines.
- Assist in preparing agendas and minutes for meetings.
- Administrative Support:
- Assist with daily administrative tasks and ensure efficiency of the head of the department.
- Manage and organize the department heads tasks meetings and appointments.
- Maintain and update records and databases.
Qualifications:
- Proven experience as an executive/administrative assistant or in a similar role.
- Fluent in English with very strong communication skills both written and verbal.
- Excellent organizational and timemanagement skills.
- Strong problemsolving skills.
- Proficient in task management software and creating reports.
- Proficiency in Excel PowerPoint Canva and Notion.
- Ability to work independently and handle multiple tasks simultaneously.
- High level of attention to detail and accuracy.
- Experience in the plumbing or property management industry is a plus but not required. Will be required to take a 1day plumbing introduction course.
