We are seeking a motivated independent and spirited Admin Support (also called: Administrative Assistant or Office & Executive Assistant) to support our growing ETH Zurich Spinoff. Youll play a pivotal role in assuring that our company functions as well as our innovative product.

About Optiml
Real estate is one of the key levers for decarbonization and its time to act. Optiml is fastgrowing AI startup with a mission to revolutionize investment decisions towards sustainability.
We spun out of ETH Zurich in fall 2022 and raised money from topnotch US & EU funds: Innovation Endeavors (San Francisco fund of former Google CEO Eric Schmidt) and Planet A (Berlin). In short: although were only a year and a half old were at the stage where we need more entrepreneurial and talented people to join our team as we expand our products footprint.
Tasks
Given we are an early stage startup your support may range from a broad array of topics along the following categories:
Operations
- Overseeing the daytoday operations of Optiml to ensure efficiency in all administrative processes including office management mail services coordination with service providers
- General accounting tasks including recording and control of cash flows and payments in Xero in the countries of Switzerland EU countries (e.g. Germany) United Kingdom and the US
- Data management e.g. of the companys customer relation management databases in Hubspot
- Support in the preparation of board and management documents and briefings coordination of stakeholders also internationally
Communications
- Support marketing teams in the area of communication preparation of press releases etc.
- Support in managing the web presence and social media channels
- Outgoing / incoming email correspondence for general inquiries
Executive assistance
- Providing personal support to Founders & senior team such as supporting to managing calendars scheduling appointments and organizing meetings
- Supporting in organizing travel arrangements including booking flights accommodation and transportation
- Planning and coordinating events and social occasions for Optiml team
- Managing confidential documents including personal and sensitive information
Requirements
- Professional competence: Sound knowledge in the field of business administration
- Organization and Time Management: Strong organization and time management skills proven track record of managing multiple responsibilities and delivering high quality results
- Communication: Excellent communication and interpersonal skills especially communicating effectively with various stakeholders
- Discretion and Confidentiality: High level of discretion and ability to handle sensitive information confidentially
- Problem solving: Independent detailoriented way of thinking and working; ability to solve challenges quickly and effectively
- Very good written and verbal communication skills in English and German
- Swiss or EU citizenship (unfortunately due to size we cant support nonEU)
