Job Description

The Beyond Beauty Club is a supportive community for women to come together learn and grow. Our members are connected through a sense of sisterhood and empowerment. The club provides access to Hollywoods top cosmetic dermatologist and expert training materials along with personal coaching and the opportunity to earn business certifications and . Coupled with stateoftheart manufacturing ingredients and high qualitative products.

Tasks

We are seeking a highly organized and versatile individual to join our team as an Office AllRounder for the morning a few days in the week. As the first point of contact for our headquarters office in Zurich you will play a crucial role in ensuring smooth operations and providing administrative support across various departments.

The ideal candidate will be detailoriented proactive and possess excellent communication skills in English. German would be an advantage.

Front Desk Management:

  • Greet visitors and ensure they are attended to promptly and professionally.

  • Manage incoming calls and redirect them appropriately.

  • Handle incoming and outgoing mail and packages.

    Administrative Support to CEO:

  • Assist with general administrative tasks such as filing data entry and document preparation.

  • Coordinate meetings and appointments including room bookings and arranging refreshments whevener required.

  • Assist with travel arrangements and accommodations.

  • Assist with with expenses reconciliation when required.

Facilities Management:

  • Monitor and maintain office supplies inventory placing orders as needed.

  • Liaise with vendors and service providers to ensure office equipment and facilities are in working order.

  • Assist with office logistics including setup and cleanup for meetings and events.

    Assistance to Various Departments:

  • Provide administrative support to different departments as required including HR finance and marketing.

  • Assist with special projects and initiatives as assigned by department heads.

Requirements

  • Previous experience in a similar administrative or office support role preferred.
  • Excellent communication and interpersonal skills.
  • Strong organizational abilities with keen attention to detail.
  • Proficiency in MS Office Suite (Word Excel Outlook) and other office software.
  • Ability to multitask and prioritize tasks effectively in a fastpaced environment.
  • Fluency in English and ideally German (both written and spoken) is required; additional languages are a plus.
