Position: Chief of Staff (Senior Administrative Assistant)

Scope of the Role: We are seeking a highly organized proactive and analytical Chief of Staff to assist our CEO in both personal and professional capacities. The ideal candidate will have a background in operations engineering or finance be adept at using AI tools and excel at building efficient systems and processes. This fully remote bilingual EnglishSpanish freelance position requires exceptional multitasking abilities strong communication skills and a detailoriented mindset.
Duties and Responsibilities: The Chief of Staff will manage financial tasks develop systems and processes coordinate strategic tasks handle marketing and social media manage content and support the CEO’s personal needs.
Main Functions: Financial Management:
Handle bookkeeping financial diligence and employee payments.
System and Process Development:
Build SOPs and implement AI tools for efficiency.
Strategic Tasks:
Coordinate with managers schedule meetings and conduct deal hunting.
Marketing and Social Media:
Manage and grow LinkedIn and Twitter accounts; develop social media strategies.
Content Management:
Attend events take notes summarize content and convert into Blinkest format.
Event and Activity Management:
Book events find specialized events and organize personal celebrations.
Daily Coordination:
Provide daily checkins and manage the CEO's calendar.
Content Creation:
Edit photos create music playlists and manage the CEO's personal Twitter account.
Personal Organization:
Organize the CEO’s computer files and maintain the Isaac book/notion/drive.
Virtual Assistance:
Find LinkedIn connections draft messages and coordinate with a Latinbased VA.
Information Gathering:
Collect and organize critical information for project conceptualization and testing.
Vendor Coordination:
Communicate with vendors for pricing and contracts.
Agency Communication:
Coordinate with city agencies articulating project requirements.
Project Management:
Ensure projects stay on track meet deadlines and address any issues.
Planning and Monitoring:
Develop maintain and monitor project plans.
Documentation:
Create and maintain comprehensive project documentation and reports.
Status Reporting:
Regularly report project status and progress to management.
MultiProject Management:
Oversee multiple projects from conception to completion.
Requirements: Educational Background Bachelor’s degree in Engineering Finance or a related field preferred.
Skills and Tools Proficiency Proficient in Notion Excel AI tools and Zapier.
Strong financial acumen and bookkeeping experience.
Personal Attributes Highly organized with exceptional attention to detail.
Excellent multitasking and communication skills.
