The Executive Administrative Assistant plays a crucial role in supporting senior management and ensuring the smooth operation of the organization. They are responsible for handling a wide range of administrative and executive support tasks contributing to the efficiency and effectiveness of the leadership team.
Key Responsibilities
- Provide highlevel administrative support to executives including managing and prioritizing their schedules travel arrangements and correspondence.
- Coordinate and facilitate executive meetings events and conferences ensuring all necessary materials and resources are available.
- Handle confidential and sensitive information with discretion and maintain strict confidentiality.
- Prepare and edit correspondence communications presentations and other documents.
- Act as the primary point of contact for internal and external stakeholders demonstrating professionalism and tact at all times.
- Conduct research compile data and prepare reports for executive review and decisionmaking.
- Manage special projects as assigned by the executives ensuring deadlines and objectives are met.
- Assist in the preparation and monitoring of budgets expense reports and financial documents.
- Coordinate and manage communication and workflow between executives departments and external partners.
- Organize and maintain executive files records and databases in a systematic and accessible manner.
- Proactively identify opportunities to improve administrative processes and implement solutions.
- Anticipate the needs of the executives and take proactive measures to ensure their efficiency and productivity.
- Handle adhoc administrative and operational tasks as requested by the executives.
Required Qualifications
- Bachelors degree in Business Administration Management or a related field.
- Proven experience (5 years) in an executive administrative support role within a corporate or professional setting.
- Excellent proficiency in Microsoft Office suite including Outlook Word Excel and PowerPoint.
- Outstanding organizational and time management skills with the ability to multitask and prioritize effectively.
- Exceptional verbal and written communication skills with a keen eye for detail and accuracy.
- Ability to maintain professionalism composure and confidentiality in highpressure and highstakes situations.
- Demonstrated problemsolving abilities and the capacity to make sound decisions under tight deadlines.
- Experience in coordinating travel arrangements logistics and itineraries for executives and senior management.
