Job Summary
We are seeking a friendly professional and customeroriented Front Desk Representative to join our team. As the first point of contact for our company you will be responsible for greeting clients and visitors managing front desk operations and providing administrative support. Your primary goal is to ensure a positive experience for all guests and maintain the smooth running of our front office.
Key Responsibilities
- Manage Reception Area: Keep the front desk and reception area tidy organized and presentable at all times.
- Schedule Appointments: Manage and coordinate appointments meetings and conference room bookings.
- Handle Mail and Deliveries: Receive sort and distribute incoming mail and deliveries. Prepare outgoing mail and packages.
- Administrative Support: Provide general administrative support to various departments as needed including filing data entry and document preparation.
- Customer Service: Address and resolve customer inquiries concerns and complaints in a professional and courteous manner.
- Security: Monitor and control access to the building ensuring only authorized individuals enter the premises.
- Office Supplies Management: Maintain inventory of office supplies ordering new supplies as necessary to ensure the front desk is wellstocked.
- Record Keeping: Maintain accurate records of visitor logs phone logs and other relevant data.
Qualifications
- High school diploma or equivalent.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word Excel Outlook).
- Familiarity with office equipment (e.g. printers fax machines).
- Customer serviceoriented with a friendly and professional demeanor.
