Major responsibilities of an Banquet & Event Supervisor :
To supervise and operate full day to day and activities of catering and events while maintaining high standards of service presentation set up and ensure compliance with standards set out by client and event organizer. To ensure the required set up and organization is executed in a timely manner.
To develop a welldisciplined proactive team and support the operation and its activities while being handson in operation.
To act as a supporting role to the manager and work closely with team members event organizer to a high level of rapport and interaction.
Key Accountabilities & Activities:
Oversees and supervises all catering and events and full scope of operation support dining facilities when required to support other operations and restaurants.
Ensures all activities are delivered with exceptional service high quality and set up set as per client requirement.
Ensures buffet set up is well labeled with digital tags accurate information and in line with allergen program.
Maintains dietary special meals guidelines and allergen requirements for each event.
Ensures strict compliance of the food safety policies during all event and ensure all necessary records delivery area maintained.
Establishes and follows sequence of service via established SOP standard set up and maintains consistency.
Ability to work under strict timelines direction and work independently.
For all large scale and VIP events ensure rehearsals or dry runs for service are carried out mock set up and prepare proper seating and serving plan accordingly.
Coordinates with banquet manager and forecast for upcoming events manning and planning ahead of time.
Supervises service team and ensures they are performing as per expectations and tasks set out.
Ensures the customers and event organizers satisfaction with a post event survey form.
Practices good customer relations skills and ensures the teams portray positive customer service.
Executes a training plan TBT program and regularly perform trainings for staff against the training needs.
Efficiently and proactively schedule staff for events where possible allocate additional support for other operations during offpeak times.
Practices proactive approach when it comes to planning set up scheduling and resources.
Assigns teams for deep cleaning and arrangement of storage and facilities.
Ensures that all equipment is checked regularly to avoid breakdowns and reports to avoid business interruption.
Ensures that all event spaces undergo cleaning to maintain cleaning and hygiene standards pre during and post event.
Ensures staff completed required opening and closing checklist.
Conducts daily staff grooming hygiene and uniform checks and ensures staff maintain a professional appearance.
Performs quarterly inventory of all banquet and catering resources (tables chairs logistics equipment OSE and similar)
Ensures all event reporting is submitted in a timely manner (SES etc.)
Works closely with the banquet and event coordinator on event updates changes event order reporting and status
Assists with event inquiries when required.
Makes regular inspections to ensure that FFEs are maintained properly and in working condition.
To be fully conversant with POS operation and billing procedures and prepare accurate billing and follow up on pending outstanding event orders.
Ensures that staff undergo frequent training and remains up to date with all information related to banquet and events provides coaching to the staff.
Ensures all incidents related to customers fire theft HSE etc. during catering and events is reported in a timely manner.
Ensures maximum security of all resources and event areas and coordinates with the relevant parties.
Attends event and client meetings and conducts site inspections as required.
Handles all customer complaints in a professional manner and reports as per the Client complaint policy.
Ability to work under pressure and within strict deadlines
Knowledge Skills and Experience:
To be fully conversant with POS retail and E wallet system and operation
To ensure the required team members prepare accurate billing and reports related to POS.
To help attain Companys Vision Mission Values and Food Safety Policy
To comply with Companys Confidentiality Policy. To ensure a timely submission of all company administrative work checklists reporting and similar.
To participate in staff training and continuously coach staff to perform their duties accurately provide retraining or additional coaching/ discipline for all staff that require additional assistance.
To action and complete relevant documentation in the event of fire theft or accidents.
To ensure that safety and security of the dining facilities both FOH and BOH is maintained.
To attend meetings and training courses as required.
To handle guest complaints and feedback professionally and report to management as per Food Service procedures and systems in place

Qualifications:
Possess a minimum of 3 years relevant experience in field of banqueting operation international hotel chain large scale catering operation fast paced or similar environment in a similar capacity.
Excellent speaking understanding reading and writing in English.
Middle East or International experience an asset
Relevant and updated qualification and certification in basic Food Safety and HACCP
Excellent communication and interaction skills
Customer focused positive attitude
Strong administrative organizing and planning skills.
Departmental basic training certification an asset
Must be able to work indoors and outdoors.
