Job Summary:
We are seeking a friendly organized and reliable Front Desk Representative to join our team. The ideal candidate will be the first point of contact for our organization responsible for ensuring a positive experience for all visitors and callers. This role involves greeting guests managing incoming calls handling inquiries and performing various administrative tasks to support the smooth operation of the office.
Key Responsibilities:
- Answer Phones: Manage incoming calls transfer calls to appropriate staff and take messages as needed.
- Guest Services: Provide information and assistance to visitors and callers including answering inquiries about the organization and its services.
- Scheduling: Manage appointment schedules and coordinate meeting rooms.
- Administrative Support: Perform various administrative tasks such as data entry filing copying and maintaining office supplies.
- Mail Management: Sort and distribute incoming mail and handle outgoing mail and packages.
- Record Keeping: Maintain accurate visitor logs and other records as required.
- Assist Staff: Provide administrative support to staff as needed including document preparation and managing correspondence.
Qualifications:
- High school diploma or equivalent.
- Excellent verbal and written communication skills.
- Strong interpersonal skills with a friendly and approachable demeanor.
- Proficiency in Microsoft Office Suite (Word Excel Outlook).
- Ability to multitask and manage time effectively.
