Job Description

This is a remote position.

  • Administration and Customer Service Representative
    • Serves customers by providing product and service information and resolving product and service problems.
    • Opens customer accounts by recording account information.
    • Maintains customer records by updating account information.
    • Maintains financial accounts by processing customer adjustments.
    • Contributes to team effort by accomplishing related results as needed.
    • Copies and stores important documents and records.
    • Provides office communications support by fielding calls answering questions forwarding messages confirming customer orders and keeping customers informed of order status.
    • Email inbox management

  • Data Entry
    • Create new contacts in CRM
    • Create new opportunities in CRM
    • Prepare client files for assessment
    • Accurately record client information
    • Update and maintain client contact details
    • Record correspondence in CRM
    • Update status in CRM

  • Workflow
    • Record work completed on client files
    • Ensure that work continues on priority tasks
    • Team Career & Innovation
    • Promote a positive working relationship with the team
    • Proactively contribute to team meetings
    • Take responsibility for personal and professional development
    • Share ideas and innovative concepts to add value to the business
    • Take responsibility for being successful in my role
    • Maintain Learning Journal

  • FinxS
    • Create new user profile in FinxS
    • Set up points pricing
    • Add reports to FinxS Accounts
    • Copy and send user Access Codes and FinxS login details to client
    • Rebranding client platforms
    • Rebranding reports
    • Set up project codes in FinxS
    • Send out online assessments
    • Retrieve reports out of FinxS
    • Create new reports in FinxS
    • Exporting clients into CRM from FinxS
    • Email HR Profiling new Accredited Practitioners or Consultants to obtain Certificate
    • Send out Certificates and welcome emails
    • Upload Certificates and Reports into the platform
    • Send marketing material to Prac & Cons
    • Send Product Information to Prac & Cons
    • Edit user access rights when Prac become Cons
    • Add additional reports when Prac become Cons

  • Training
    • Send out online assessment
    • Add to calendar invite with workbook
    • Set up contact in platform as new client
    • Send reports before course to clients
    • Precourse email (being set up in platform)
    • Post training feedback from email links/marketing


Requirements

  • Bachelor s degree in Business Administration Marketing or related field.
  • Previous experience in client relationship management or administrative roles.
  • Proficiency in using FinxS or similar platforms preferred.
  • Strong English Language Skills written & verbal
  • Strong organisational and multitasking abilities.
  • Attention to detail and ability to work independently.
  • Excellent time management

At least 3+ years experience in Administration; Scheduling Proficiency in CRM and ERP systems, with demonstrated experience in data management and system administration; Intermediate Word and Excel skills; Excellent verbal and written communication skills; Ability to work under pressure and meet deadlines.
