Job Overview

Join our team as a Senior Operations Coordinator and take charge of event planning and execution while supporting various Marketing and Operations team initiatives. In this pivotal role youll oversee a myriad of tasks from orchestrating internal and external events to managing job applications and contributing to article publications. Driving Dynamics: Maximizing Your Influence
  • Event Research and Coordination:
  • Drives research and preparation required to bring events from concept to reality.
  • Ensures a positive safe aesthetically pleasing and enjoyable experience for guests while adhering to internal requirements.
  • Develops a deep understanding of the goals timeline and audience for each event.
  • Leverages creativity and institutional knowledge (checklists templates event feedback etc.) to develop new events.
  • Researches appropriate venues and vendors using online search tools email and phone calls; develops detailed cost estimates; and communicates findings and next steps to the team.
  • Validates event logistics using Google Maps and Google Earth contacts venue personnel checks traffic and weather estimates ensures vendor insurance coverage and safety scores (as needed) and takes similar measures to ensure a safe and enjoyable guest experience.
  • Develops manages and communicates event timelines; proactively checks in with external vendors and internal stakeholders.
  • Reviews contracts summarizes terms and flags issues for followup.
  • Anticipates risks and recommends appropriate mitigation.
  • Ensures that all onsite event components have internal owners.
  • Makes travel arrangements.
  • Considers and plans against contingencies; maintains exceptional communications and clarity among internal conference attendees and external vendors.
  • Manages invitation and attendee lists and updates ActOn and Salesforce.
  • Marketing:
  • Works closely with Marketing teammates to ensure timely highquality database updates; coordinates invitation and other processes; and produces clear errorfree marketing materials.
  • Performs database updates at scale; researches individual address changes updates spelling and checks overall correctness.
  • Coordinates event invitation and gifting processes; prepares clear written instructions; employs excellent Excel practices and strong interpersonal skills.
  • Drafts website blurbs article summaries bios and other short items.
  • Collaborates with editorial and creative teams to post website updates (WordPress) and draft marketing and recruiting materials.
  • Proofreads written material to ensure correct spelling and grammar consistent layout and adherence to brand and style guidelines.
  • Leverages excellent spreadsheet and communication skills across a variety of initiatives.
  • Tracking and Execution for Internal Initiatives and Projects:
  • Works with various firm leaders to ensure the progress of internal initiatives.
  • Provides phone email and/or scheduling support for internal initiatives.
  • Tracks and nudges progress forward on open projects; gives them a heartbeat.
  • Coordinates and/or administers various recruiting and HR activities.
  • Provides handson research testing and/or execution for assorted projects.
  • Uses diplomacy and an understanding of the project s big picture to advance projects engaging in friendly followup on an ongoing basis.
  • Sample projects include:
  • Coordinating with internal teams to collate monthly statistics.
  • Performing vendor research and documenting results.
  • Evaluating new software tools to assess suitability for our use case.
  • Summarizing sensitive/confidential information.

  • Bachelor s degree or higherlevel education with an outstanding academic record
  • Advanced proficiency in Microsoft Excel and intermediate proficiency in Word Outlook and PowerPoint; adept at learning new software tools quickly
  • Strong skills in mathematics and budgeting; proficient in map reading and navigation
  • Excellent verbal and written communication skills in English; clear and articulate phone manner
  • Strong preference for English customer service experience involving heavy phone usage OR equivalent experience in an Englishspeaking professional environment
  • Strong research skills with a high level of focus and attention to detail; capable of quickly identifying and rectifying errors (numerical spelling visual layout etc.)
  • Superb ability to follow through and manage projects ensuring no tasks are overlooked
  • Superior interpersonal skills resilience and problemsolving ability; adept at working independently with minimal guidance
