Location: Cape Town Western Cape
Purpose: As a Bid Office/ Administrative Assistant in the field of Information Technology you will play a crucial role in assisting with office administration and the bidding process for technologyrelated projects; assisting in the qualification of all tenders completion and compilation of tender documents.
Key Responsibilities:
Monitor bid advertisements to identify relevant opportunities.
Assisting in qualification of tenders based on organizational criteria.
Handling general queries escalating issues when necessary and conducting ad hoc maintenance of the bid register.
Completion and compilation of tender documents
Organize and maintain bid records.
Coordinate the delivery of bid responses.
Updating of company documents and company registrations on various
platforms.
Maintain office supplies: Keep track of inventory levels and order supplies as needed.
Equipment management: Ensure proper maintenance of office facilities and equipment.
Experience and Skills
Matric
Office/business administration diploma will be advantageous but is not a essential.
Experience as an office administrative assistant.
Experience as a bid office assistant including familiarity with the bidding process tender submissions specifically the Government Tender process would be advantageous.
Industry knowledge: Understanding of the IT industry.
Proficiency in using Customer Relationship Management (CRM) tools for bid tracking and management.
Attention to detail for meticulous review and preparation of documents.
Excellent administration skills / Ms Office skills
Effective written and verbal communication skills for bid submissions.
Time management abilities to handle tight bidding deadlines.
Ability to communicate effectively at all levels.
Analytical thinking to assess bid requirements and tailor responses accordingly.
Be able to work in a team environment.
Be able to work Independently.
