Job Description

Job Description: Administrative and Tender Executive
Position Overview:
We are seeking a proactive and organized individual to join our team as an Administrative and Tender Executive. The role involves providing administrative support to various departments while also managing tender processes efficiently. The ideal candidate will possess strong organizational skills attention to detail and the ability to work collaboratively in a fastpaced environment.
Key Responsibilities:
Administrative Support:
Manage office operations by handling incoming calls emails and correspondence.
Coordinate meetings and appointments for team members.
Maintain and organize files documents and records both in physical and electronic formats.
Assist in preparing reports and other materials as needed.

Tender Management:
Monitor tender opportunities from various sources and ensure timely submission of proposals.
Review tender documents thoroughly to understand requirements and deadlines.
Collaborate with relevant departments to gather necessary information and documents for tender submissions.
Prepare and compile tender documents ensuring accuracy and compliance with specifications.
Coordinate with vendors suppliers and subcontractors during the tender process.
Maintain tender databases and records for future reference and analysis.
Documentation and Compliance:
Ensure all administrative and tenderrelated documentation is accurately maintained and archived.
Facilitate communication between internal teams external stakeholders and clients as required.
Serve as a point of contact for inquiries related to administrative matters and tender submissions.
Liaise with procurement legal and finance departments to ensure smooth tender processes and contract negotiations.

Qualifications and Skills:
Bachelor s degree in business administration Management or related field.
Proven experience in administrative support roles preferably in a corporate environment.
Familiarity with tender processes and documentation is highly desirable.
Excellent communication skills both written and verbal.
Strong organizational and timemanagement abilities.
Proficiency in MS Office applications (Word Excel PowerPoint).
Attention to detail and ability to multitask effectively.
Team player with a proactive attitude and willingness to learn.
Additional Information:
This is a fulltime position.
The role may require occasional overtime to meet deadlines.
