Job Description:
We are seeking a dedicated Administrative Assistant preferably with experience and expertise in customer record management invoicing quoting and general administrative tasks. The successful candidate will be responsible for various office duties including customer record creation on Sage invoicing quoting assisting with administration payments received on the database issuing statements and pulling data over from QuickBooks to Sage. This is a permanent position based in our office and we are looking for someone in their 40s or 50s who is eager to contribute to our team.
Responsibilities:
1. Create and maintain customer records accurately and efficiently on Sage.
2. Generate invoices and ensure timely and accurate billing.
3. Prepare and send quotes to clients in a professional and timely manner.
4. Assist with administration payments received on the database ensuring proper documentation and recordkeeping.
5. Issue statements to clients as needed following up on any outstanding balances.
6. Transfer data from QuickBooks to Sage accurately and efficiently.
7. Provide general administrative support as needed including filing answering phones and assisting with correspondence.
Basic Skills Required:
1. Proficiency in Sage and QuickBooks software.
2. Experience with customer record management invoicing and quoting.
3. Strong attention to detail and accuracy.
4. Excellent organizational and time management skills.
5. Effective communication and interpersonal skills.
6. Ability to work independently and as part of a team.
7. High school diploma or equivalent.
Preferred Experience (not required but a plus):
1. Previous experience in a similar administrative role.
2. Familiarity with accounting principles and practices.
3. Knowledge of basic office equipment and computer software.
4. Ability to multitask and prioritize tasks effectively.
5. Experience working in a fastpaced environment.
