Property Management Coordinator

£18000 £25000 base salary (depending on experience) Our client a well established estate agency is looking for a Property Management Coordinator to join their team.
Duties: - Assist with the management of the property portfolio in order to maximize office income including the retention of properties and clients.
- Assist with the management of all property maintenance issues to support the Property Manager.
- Liaise with landlords and negotiate with contractors for any maintenance/repair works to be carried out on properties.
- To assist the Property Manager in arranging inventories gas safety certificates EPC’s and all other legal documentation to ensure that all managed properties comply with current legislation.
- Manage the property diary system to ensure that all reminders gas safety inspections regular property inspections and tenancy renewals are completed on time.
- Liaise with independent inventory companies and front office staff to ensure a smooth check in & check out process.
- Arrange and carry out property inspections including reporting any findings to the landlord and arranging remedial/maintenance works and/or follow up visits if required.
- Notify utility companies of new tenancy details or change of occupants including all meter readings.
- Liaise with tenants and landlords ensuring any maintenance issues/updates are communicated promptly at all times.
- Liaise with contractors and tradesmen ensuring all relevant contractor agreements insurances and qualifications are up to date on file.
- Ensure that you are fully aware of and comply with all regulations for General Data Protection & Anti Money Laundering.
- Bring complaints to the attention of your Line Manager immediately.
- Attend all meetings and training courses as required by your Line Manager.
- Assist with the management of front office; dealing with face to face telephone & email enquiries.
- General administration including typing filing post and ordering stationary.
- Inform your Line Manager of ideas which may improve performance and efficiency.
- From time to time perform duties outside of this job description reasonably requested of you.
Main Objectives: - Process new landlord and tenant insurance policies online to ensure that new policies are in force as soon as tenancy has commenced.
- Maintain the level of service and quality standards.
- Operate an effective diary system to ensure all landlord and tenant enquires are booked in and an appropriate time set aside.
- Handle incoming calls from tenants and landlords relating to all property maintenance issues
- To operate within the confines of the Housing Act and all legislation.
- To operate to the standards set by our regulatory bodies.
Required skills and experience: - Previous experience in property management would be ideal however isn't essential
- Full UK driving licence and own car
- Strong organisation
- Excellent knowledge of IT (microsoft/excel)
- Customer Service
- Ability to work well within a team
