Position Title: Communications & Events Assistant

Reports to: Senior Director, Communications & Digital Marketing, Communications & Events

Today, Vital Voices has a staff of nearly 80 headquartered in Washington, DC. We ve recently been working to dramatically scale our impact in accordance with our bold vision. In early 2022, we opened the first ever Global Headquarters for Women s Leadership, a 30,000+ sq. ft. historic building just blocks from the White House on 16th Street. It is a hub of activity, events, and collaborations — bringing together women leaders and their allies to tackle the world s greatest challenges.

Summary

The Communications and Events Assistant will work under the supervision and guidance of the Senior Director, Communications and Digital Marketing. The Assistant s primary responsibilities include assisting the marketing, communications and events team. The Assistant will collaborate closely with the Director of Events, Development Department and Program teams to best serve Vital Voices. This position is based in Washington, DC with the option of a hybrid work schedule. We are not accepting remote candidates at this time.

Additional responsibilities include:

Communications and Digital Marketing: 45%

  • Graphic Design: Assist with the design and creation of marketing collateral and omni-channel promotional materials using Adobe Photoshop, Canva and emerging software applications; working closely with graphic design vendors for high-level initiatives.
  • Campaign Tracking: Track existing marketing campaigns and analyze results, through Google and various digital media insight applications. Offer suggestions for optimization.
  • Search Engine Marketing: Analyzes SEM trends and assists with optimizing visibility of the Vital Voices brand through monthly advertising and integrated marketing initiatives.
  • VVHQ Events: Attend and assist events held at the Vital Voices Global Embassy for Women s Leadership with tasks such as registration and/or check in, guest and crowd management, vendor management, etc.
  • Event Coordination: Support the Events team in logistical preparations for internal and external events, including vendor coordination, staff communications, expense management and concept creation
  • Event Research: Work with the Director of Events to research relevant new event trends, vendors, formats, etc.
  • Market Research: Using multiple methods, including online surveys, polls, questionnaires, etc., analyze data to uncover industry trends.
  • Reporting: Assist with the compilation of monthly marketing analyses, digital insights, credit card and expense reports; consolidate data, summarizing and formatting information into formats established by various stakeholders.
  • Process Contracts: Collect the necessary information to process vendor contracts and payments.
  • Assist with Interdepartmental Communications: Compile and distribute relevant marketing, events and communications information to key stakeholders across various Vital Voices Departments.
  • DE&I Commitment: embrace and model the Vital Voices guiding principles, values, investment, and leadership models with the goal of supporting Vital Voices organizational culture and successes.
  • Other duties as assigned.

Events Support: 45%

Other responsibilities: 10%

Professional Qualifications:

  • Bachelor s degree in international relations or a related field, plus 0-2 years of relevant work experience required, OR Graduate degree in in international relations or a related field, plus 0-1 years of work experience REQUIRED;
  • Strong demonstrated experience in global women s issues, refugee issues, and human rights;
  • Excellent oral and written communications skills in English;
  • Ability to prioritize tasks, swiftly shift priorities, and work in a dynamic environment with tight deadlines
  • Ability to work independently and as part of a dynamic team;
  • Strong computer skills including MS Office applications (esp. Excel, Word, and PowerPoint), social networking tools, and database software (i.e., Salesforce).
  • Experience working cross-functionally to support key objectives and to help team members

This position is a full-time non-exempt hybrid position based in Washington, DC with two days of required in person attendance at the Vital Voices Headquarters. If and when it is safe to travel, domestic and international travel up to 10% may be required for the position.

The starting salary range for this position is $43,905 $53,661 based on experience and ability to have broad impact early. The compensation package includes comprehensive medical, dental, and vision insurance, 401k match, and generous PTO including wellness flex days, generous parental leave, earned sabbatical time, and volunteer leave as well as short- and long-term disability, life insurance, HSA, EAP, and a professional development stipend.
