Job Description

Our Client who is a huge conglomerate in Qatar is looking for a Male Executive Assistant to work closely with the Groups President As an Executive Assistant you will play a pivotal role in ensuring the efficient operation of our executive office You will work closely with the groups president coordinating their schedules handling communication and providing critical administrative support to help them focus on strategic tasks and decisionmaking

Key Responsibilities

  • Manage the executives complex calendars scheduling appointments meetings and travel arrangements
  • Coordinate and prepare documents and materials for meetings and presentations
  • Handle all incoming and outgoing communication on behalf of the executive including phone calls emails and written correspondence
  • Maintain and organize files records and documents both physical and digital ensuring easy accessibility and retrieval
  • Assist with administrative tasks including expense reports budget tracking and purchase orders
  • Gatekeeping screening and prioritizing incoming requests and inquiries to manage the executives time effectively
  • Conduct research and prepare reports presentations and summaries as required
  • Support project management activities tracking deadlines and coordinating tasks across teams
  • Plan and organize company events conferences and seminars as directed
  • Maintain a high level of discretion and confidentiality when handling sensitive information

Qualifications

  • Minimum years of experience in a similar role
  • Proficiency in Arabic and English is a Must
  • Excellent organizational and time management skills to handle multiple tasks and priorities
  • Exceptional communication skills both written and verbal for effective interaction with internal and external stakeholders
  • Proficiency in office software calendar and email tools and possibly project management software
  • Strong problemsolving skills and the ability to remain composed under pressure
  • High level of professionalism and discretion when dealing with sensitive information
  • Strong interpersonal skills to effectively liaise with colleagues clients and other stakeholders
  • Proactive and resourceful in anticipating the executives needs and streamlining processes
