Job Description: Operations Manager

Position Summary

The Operations Manager occupies a critical role within the firm, serving as a key conduit between business and security operations. The role is uniquely structured to allocate approximately 50% of the incumbent and #x27;s time to essential business operations, including meticulous management of billable time reviews, invoicing, and financial estimates. In close collaboration with finance and administrative stakeholders, the Operations Manager ensures the firm and #x27;s financial and business activities are aligned with strategic goals and compliance standards.

The other anticipated 50% of the role will be focused on bolstering the firm s security operations service and risk advisory services team. Responsibilities include logistical and back-end support for the risk advisory services team, across a range of service lines such as training, security advisory, travel risk management, and cloud-based systems. The aim is to facilitate the security operations team in delivering exceptional service quality, particularly for clients operating in higher risk environments.

As the firm expands, this position offers ample opportunity for career growth, including potential client engagements for a well-rounded and enthusiastic candidate. While the role is predominantly remote, allowing for work-from-anywhere flexibility, occasional travel to the Washington D.C. area or internationally may be required, albeit infrequently. The role demands an average commitment of 30-40 hours per week, although a greater level of effort may be necessary for client emergency response situations, requiring additional fill-in support from the Operations Manager.

Primary Duties and Responsibilities

  • Business Operations
    • Billable Time Reviews: Conduct detailed reviews of billable time records to ensure accurate and efficient invoicing.
    • Invoicing and Estimate Support: Collaborate with finance stakeholders to develop accurate invoices and estimates for clients.
    • Financial Oversight: Manage and provide oversight with direct reporting to the firm s leadership on payables and receivables, ensuring timely payments and collections.
    • Management Reporting: Deliver comprehensive weekly and monthly reports on business operations activities to the firm s leadership.
    • Business Development: Support the firm in business marketing and development activities.
    • Social Media Management: Assist in maintaining and updating the firm s social media platforms, to include providing oversight on the firm and #x27;s security analyst team posts and communications on regional security alerts and updates.
    • Meeting Management: Coordinate internal and external meetings, ensuring optimal productivity and information dissemination.

  • Security Operations
    • Logistical Support: Provide logistical and administrative support to the risk advisory services team for client and business development engagements.
    • Leverage the firm and #x27;s travel booking system to execute, confirm, and optimize business travel arrangements, thereby streamlining the travel process for maximum efficiency and cost-effectiveness.
    • Provide support for training system support, to include providing support to Risk Advisory team members on the firm s Learning Management System, monitoring and responding to support tickets, coordinating enrollment and system response with clients.
    • Client Engagements: On an infrequent basis, assist in client engagements and deliverable activities as requested.

Qualifications

  • Bachelor and #x27;s Degree in Business Management, Operations, Finance, or related field.
  • Minimum of 5 years experience in operations management, preferably in a risk management environment.
  • Excellent organizational and multitasking skills.
  • Proficient in financial software and Microsoft Office Suite.
