Position Description:


The IDEAL School of Manhattan is seeking a talented, enthusiastic, and creative Development and Communications Assistant to join our team


Reporting to the Director of Communication and Head of School, the Development and Communications Assistant will provide administrative support to the Communications Director and Head of Editing and writing materials that are aligned with the mission and vision of The IDEAL School will be an integral part of your role, as well as providing essential data tracking, management, and event planning functions for the school s development

Communications Responsibilities Include:

  • Help implement communications strategies

  • Provide administrative support to programs and internal teams

  • Draft and edit communications copy ( emails, press releases, publications, social media posts)

  • Assist in maintaining web content and executing social media strategies

  • Update databases and media lists

  • Track projects and media exposure

  • Facilitate effective internal communications

  • Maintain calendars and appointments

  • Assist in identifying potential market and social media channels and monitor marketing efforts

  • Prepare presentations and reports


Development Responsibilities Include:

  • Manage the entry and acknowledgement process for all gifts in a timely and appropriate manner, including composing, printing, and tracking donor acknowledgement letters in accordance with school policies

  • Maintain tracking process for donor and prospect pipelines, including maintaining an updated history of interactions with donors, prospects, Trustees, volunteers, alumni, and other key partners

  • Work with the business office and support the business office s tracking of donations and perform monthly reconciliations and and produce reports

  • Perform database administrative tasks including creating and updating records with Senior Systems and running a variety of reports

  • Provide reports on giving activities, fundraising, and campaign goals, and other information as needed

  • Coordinate annual faculty giving to the Pioneer Fund including #GivingTuesday initiatives

  • Collaborate with Directors of Admission and Communications on purchasing branded materials

  • Prepare agendas and reports for the Advancement Committee and Parents Association Meetings, in collaboration with CFO and committee/association chairs


Event Planning Responsibilities Include:

  • Provide administrative and logistical support for Head of School and administrative team as needed on all development and school-wide events including all fund- and friendraisers ( Grandparents and Special Friends Day, alumni events, Civil Rights Community Day, ArtBeat, staff meetings, and staff and student orientations)

  • Collaborate with the Director of Communications to prepare invitations and announcements for events and fundraisers

  • Provide logistical support for the Gala and Capital Campaign Committees, including event set up and breakdown and for IDEAL s Parents Association

  • With the support of the CFO, within budget restrictions, solicit and manage vendors related to special events

  • Coordinate and support set-up and break-down at events

  • Plan and order food for events

  • Recruit, manage, supervise and provide support to volunteers for all events





Requirements

Required Qualifications

  • BA required

  • A commitment to the mission of The IDEAL School of Manhattan

  • Excellent communication, time management, organizational, and computer literacy skills, including Google Suite

  • Strong analytical and financial literacy skills, including the use of Excel to track financial giving data

  • High level of professionalism with excellent interpersonal skills and ability to work closely with staff and volunteer leadership, as well as external

  • Familiarity with social media channels, simple graphic design, and Canva or Adobe products is a plus

  • Ability to handle sensitive information with discretion and good judgment

  • Willing and able to work some evenings and weekends

  • Minimum of 3 years of professional experience
