Office Assistant/ Secretary
Tasks
Ensure smooth functioning of the office:
- Taking care of office supplies inventory
- Liaison with service providers to ensure proper office functioning, e.g. cleaning, technical services, etc
Assisting the management and colleagues in:
- Travel bookings, reservations, arrangements and participation in various events
- Managing emails, eg. checking, forwarding, replying, other business correspondence
- Working with/ maintaining various administrative spreadsheets, e.g. personnel absence, expense and credit card reports, etc
- Assisting and welcoming visitors and guests
- Working with formal correspondence
- Planning and scheduling of business appointments, meetings and events
- Document management on paper and in electronic form. Develop and implement organised filing/ registration system
- Miscellaneous other office-related tasks, including general support to staff and management
Requirements
- Several years of on-site comparable experience in Switzerland
- Fluent in English and Russian, at least conversational German language, both spoken and written
- Positive, friendly and can-do, proactive attitude
- Able to prioritise and multitask
- Excellent written and verbal communication skills
- Strong organisational skills and attention to details
- EU/EFTA-passport or a valid permit to working in Switzerland
