Job Description

Job Description/Summary:

This position is responsible for managing the day-to-day operations of the Family House and for maintaining an environment in the House which promotes the physical well-being and safety of families residing at Family House.

The Manager works collaboratively with hospital leadership, members of the Family House Board of Directors and Family House Staff. This position reports to the Director of Medical Social Services.

Essential Functions:

With the support of the organization, serves as positive, creative, and effective leader responsible for daily operations of the Family House, actively coordinating and participating in day-to-day Family House activities.

Understands, supports, promotes, and adheres to the mission, and strategic plan of UCSF Benioff Children's Hospital Oakland by interacting and communicating with colleagues in a way that promotes a harmonious and cooperative working environment.

Completes annual training and education, attends, and participates in Management Forum(s) and other Management meetings as required.

Develops and updates Family House Emergency Action Plans (EAP) and staff emergency contact details as required.

Carries out required functions relating to Human Resources and staffing, in accordance with the approved Departmental budget.

Oversees and completes performance evaluations, timekeeping and payroll.

Responsible for overseeing the implementation of Family House policies and procedures including standard work, necessary to maintain the Family House.

Maintain and oversee procurement of household goods and supplies including but not limited to, office, food, and cleaning.

Family Accommodations:

Develops, oversees, and maintains the family check-in, room assignment and orientation process in collaboration with the Family House Supervisor.

Develop and maintain accurate record keeping and monthly reports that monitor Family House guest database.

Regularly communicates with hospital Security to ensure proper monitoring and execution of hospital safety protocols and monitoring.

Coordinates donated and purchased meals and refreshments served daily for families.

Works closely with the Medical Social Services department to coordinate Family House policies, referrals and update all forms and flyers as necessary.

Physical Maintenance of Family House:

Responsible for collaborating with hospital leadership, the Director of Social Services and the Family House Board of Directors to maintain the environmental functions and safety of Family House by giving attention to and reporting any safety concerns inside and surrounding the property.

Oversees the ongoing maintenance of Family House personnel including cleaning, pest control, linen and coordination of repairs in collaboration with hospital facilities management as needed.

Community and Donor Relations:

Works to generate community support and solicits donations in support of the Family House operations as appropriate.

Coordinates and tracks the receipt of monetary and in-kind donations with the hospital finance department and members of the hospital foundation, in collaboration with the Director of Social Services.

Represent the interests of Family House to groups in the community interested in supporting the mission of Family House in collaboration with the Family House Board and the Director of Social Services.

Coordinate Family House volunteers, including any events planned and executed.

Additional Responsibilities:

Participate in Family House Board meetings and activities as scheduled.

Produce required Family House Board of Directors reports as required.

Other duties as assigned.

Supervisory/Management Responsibilities:

Supervises all Family House Staff. and is responsible for all Family House Supervisor activities in the event of their absence.

Communications Required:

Excellent communication skills to effectively address all responsibilities and operations of the Family House.

Decision-Making Required:

Implements Family House programs as approved by hospital leadership, the Family House Board of Directors and the Director of Medical Social Services. Excellent organizational and time management skills with attention to detailed and accurate record keeping required.

Financial Responsibilities:

Accesses and reviews standard budget reports as appropriate for the organization.

Assists with the planning and development of the Family House Department budget.

Monitors budget performance monthly and implements budget changes, adjustments and action plans as requested by hospital leadership.

Oversees the implementation of California Children's Services (CCS) authorizations as appropriate.

Maintains the collection of all Family House fees including donations from families as appropriate.

Knowledge, Skills, and Abilities:

This position requires flexibility in hours (some weekends and evenings) to accommodate the needs of Family House.

Possess the skills, knowledge, and abilities essential to the successful performance of the duties assigned to the position.

Able to work well with a diverse population, volunteers, patients, families, visitors and staff.

Maintains respectful, diverse and an inclusive work environment where decisions and transactions are transparent and objective.

Strategic thinking of program analysis and ideas to prepare for problems and opportunities in advance by evaluating new technology as potential solutions to existing problems.

Technical Knowledge:

Microsoft office suite (Word, Excel, PowerPoint, Outlook).

Prior experience with electronic medical records preferred.

Minimum Education:

Bachelor's Degree required. Extensive experience may be considered in lieu of education.

Minimum 3-5 years as a supervisory/manager or equivalent in relevent training/experience.
