Job Description

Executive Administrative Assistant

Role description and opportunities:
As the Executive Administrative Assistant, you are the central point of contact and administrative support for SeniorExecutives and will interact daily with senior executives, internal and external partners. The position requires significant flexibility in work hours and availability.

Key responsibilities include:
Triage requests, questions and problems directed to Senior Executives, use judgment to address, prioritize, and/or escalate.

Coordinate calendar, travel, meeting, and schedule arrangements. Complete all expense reports in a timely manner.

Support preparation of attendance at or conduct meetings, including production of materials (may be highly sensitive), scheduling, logistics, and liaising with participants, speakers, and vendors. Work closely with employees of the firm as they relate to the Senior Executives.

Project support includes research and analysis, summarizing findings, and preparing communication.

Build an internal network to facilitate information gathering.

Data analysis of highly complex and sensitive information.

Exceptional writing and communication skills

Develop correspondence, memoranda and reports in alignment with the tone and voice of the senior executive.

Work with the senior executives direct reports to coordinate the development of budgets and presentations effectively and directly communicate with business managers.

Maintain understanding of firm policies and handle certain issues independently

Carry out responsibilities with integrity, respect for others, and an outstanding regard for confidentiality

Excellent communication skills both written and verbal, as well as interpersonal skills, demonstrate tact, diplomacy and confidence.

A desire to work collaboratively and build relationships across the organization, with external partners, the Executive Committee, and their teams.

Self-directed with sound judgment; is proactive and anticipates needs/next steps before asked; adapts quickly; trustworthy

Possess highly organizational and prioritization skills with the ability to manage multiple projects with competing demands and do so with a high sense of urgency.

Detail oriented for organizing, scheduling, and presenting information.

Qualifications:

The minimum education required is a bachelors degree

Advanced knowledge of all office products (Outlook, Teams, Word, Excel, and PowerPoint).

Knowledge of platforms including but not exclusive to Salesforce and Rippling preferred.

Apex Investment Coup assesses market data to ensure a competitive compensation package for our employees. The base salary for this position is expected to be between $50,000 per year at the commencement of employment. However, base salary if hired is only part of the BNYM total compensation package, which includes a company-sponsored benefit program.


What do you need for this role? A Bachelor s degree in Human Resources, Business, Finance, Accounting, Mathematics, Statistics, or related field of study is required. A Master s degree in Human Resources, Business or Finance is highly desirable. A CCP (Certified Compensation Professional) certification is a plus. 3+ years of experience with base pay design and administration, job evaluation and market pricing, survey management, bonus administration, equity plans administration, consultative analysis, and compensation compliance is required. 5+ years of relevant experience with additional exposure to global compensation processes, reporting and governance, project management, compensation communications and training development is preferred. Advanced Microsoft Excel, PowerPoint, Word and Outlook is required. Familiarity with Workday HRIS is highly desirable. Knowledge of job evaluation systems/software is desirable. Demonstrated verbal, written and listening communication skills. Excellent interpersonal, coaching and influencing skills. Collaboration and partnering skills. Ability to interpret quantitative data using statistical techniques. Ability to handle and protect highly confidential information. Ability to adapting to changing business/ work environments. Ability to manage multiple priorities in a matrixed, functional organization structure. Ability to execute business or functional strategies. Advanced problem-solving and analytical skills. Ability to conceive solutions compatible with business unit needs and financial constraints.
