Job Description

Position: Foundation Relations Project Manager

Department: Foundation & Government Grants

Schedule: Full Time

POSITION SUMMARY:

As a member of the dynamic Foundation Relations and Government Grants (FRGG) team, the Foundation Relations Projects Manager is a key member of the FRGG team and works to advance the foundation portfolio that supports institutional priorities among various clinical initiatives, programs, research, and education at Boston Medical Center (BMC). This position will help drive projects that propel the foundation relations strategy and revenue with a focus on cultivation and stewardship.

The Foundation Relations and Special Projects Manager will support the identification, cultivation, solicitation, and stewardship of foundations and other institutional funders. They will work closely with the Senior Director of FRGG and grant officers to advance funders along the giving cycle and ultimately secure grants. This integral position will develop and drive work cycles to this end as well as advance their own portfolio of funders. The Foundation Relations and Special Projects Manager s frontline fundraising coupled with management of key projects and deliverables boosts FRGG s overall capacity to generate revenue.

The successful candidate will be a strategic thinker with strong political sensitivities and excellent judgment; manager of multiple projects simultaneously; skilled project manager able to drive the work of multiple people; and accomplished multi-task professional. They will ideally possess some knowledge of health care or public health. This is a highly interactive role which requires initiative, problem solving, and creativity in addition to effective communication skills, organization, and strategic planning. This position requires the ability to play an active behind the scenes role in leadership.



ESSENTIAL RESPONSIBILITIES / DUTIES:

  • Manage all operations, activities, milestones and logistics for a portfolio of projects focused on identification, cultivation, solicitation, and stewardship.
  • Develop and maintain strong, trusting relationships with administrative and clinical leaders across the organization.
  • Staff and manage planning for high level internal strategy meetings and funder meetings/site visits from conception to follow-up.
  • Attend and participate in meetings with funders, investigators, and administrative and clinical leaders on behalf of the Sr. Director, FRGG as needed.
  • Craft high level materials (e.g., decks, correspondence) independently. Edit and proofread written materials and verify the validity of data and documents contained therein prior to dissemination/submission.
  • Develop and implement systems and initiatives that advance cultivation and stewardship of institutional funders.
  • Approach all projects, meetings, and requests in a forward thinking manner; plan ahead to ensure projects assignments are properly managed, and ensure sufficient time for preparatory work and meetings to be completed; drive internal and external partners to move projects forward on time.
  • Proactively manage changes in project scope, identify and mitigate issues and delays, and communicate project progress and updates to team members and stakeholders.
  • Manage engagement and communication with vendor that conducts prospect identification and research.
  • Define project scope, goals and deliverables in collaboration with Sr. Director of FRGG.
  • Research and identify new potential funding sources (government, foundation and industry) and solicit support for new and ongoing clinical initiatives, education programs and research. Responsible for generating new opportunities for BMC and capturing several million dollars of grant support for BMC annually.
  • Manage all operations, activities, milestones and logistics for a portfolio of projects.
  • Lead the preparation of foundation grant proposals, including writing letters of inquiry, concept papers, and proposals; developing budgets and budget justifications; preparing collateral materials; and ensuring compliance with award requirements. Strategize with investigators and program leaders, as appropriate, about proposal design.
  • Seek and obtain materials and information necessary to prepare proposals and reports (e.g., job descriptions, salary requirements, and project descriptions).
  • Coordinate with BMC Sponsored Program Administration staff to ensure compliance with pre-award and post-award internal policies. Interface with Legal to ensure compliance with all laws and BMC policies.
  • Build and refine grant cycle initiatives (e.g., tracking each phase) with thoughtful intention while aligning with Development and hospital strategy. Improve upon new and existing systems by working collaboratively across the FRGG team.
  • Track NXT prospecting and cultivation actions related to highest priority foundations and other institutional funders to ensure timely progress and touchpoints.
  • Collaborate closely with Development Operations to leverage the functionality of NXT to maximize cultivation and stewardship.

Requirements

EDUCATION: Bachelor s degree.

CERTIFICATES, LICENSES, REGISTRATIONS REQUIRED: None.

EXPERIENCE: Five years of related experience. Philanthropy preferred. Health care, public health, social service, or research setting a plus.

KNOWLEDGE AND SKILLS:

  • Proficiency with Microsoft Office, including PowerPoint, Excel, Word, Access, Outlook; knowledge of Blackbaud or other funder management platforms.


EDUCATION: Bachelor s degree (or equivalent combination of formal education and experience) required. CERTIFICATES, LICENSES, REGISTRATIONS REQUIRED: EXPERIENCE: At least 7 years of related database and information systems management experience. Staff management experience. Proficiency with business intelligence and database reporting platforms. Development office experience strongly preferred. KNOWLEDGE AND SKILLS: Experience managing an information management operation within a business office Extensive experience and proficiency managing Blackbaud Raiser s Edge 7NXT Proficiency with business intelligence platforms like Power BI or Tableau. A thorough understanding of SQL database management concepts, including data models, data integrity best practices, business intelligence, etc. Experience with Blackbaud Luminate Online, or similar online fundraising platform strongly preferred. Attention to detail and exceptional organizational, time and project management skills, with ability to prioritize and manage competing priorities Ability to work independently or as part of a team, and to thrive in a fast-paced work environment Strong troubleshooting and problem-solving skills Ability to handle confidential information Excellent oral and written communications skills, a customer service orientation, and comfort working with all levels of the organization Strong change management skills Experience developing and executing IT training programs Experience with direct marketing programs Understanding of fundraising concepts (e.g., moves management, gift, grant, and funds administration, etc.) strongly preferred Import-O-Matic experience preferred Familiarity with data security and privacy regulations (PCI, GDPR, CAN-SPAM, etc.)
